Job Description
Position: Administrative Associate


Duties: Perform exceptional customer service to the public by answering multiple phone lines and routing calls. Assist the public; may accept payments and issues receipts; respond to and resolve inquiries for individuals of the public. Provide administrative support to Director and Department Managers including but not limited to; create monthly reports, schedule meetings and maintain conference room calendars, maintain records and assist in building agendas. Track office supply ordering and propose purchase card transactions. Prepare and proofread a wide variety of reports, letters, memoranda, and news releases, related to assigned responsibilities. Assist with inter-department communications; receive, sort, and deliver packages and mail received for divisions. Assist with office equipment maintenance and replacement if necessary. Maintain department filing systems and records; develop and implement filing systems; modify systems, as appropriate. Assist with city calendar and website updates for the Public Works Department divisions. Provide back-up customer service coverage for Solid Waste Administrative and Public Works Administrative Analyst. Assist with multiple Public Works programs and communication and outreach to other departments and the public as necessary.


Skills Required: Basic understanding of email, calendar scheduling, and purchasing practices. Introductory level of understanding of Microsoft applications; Excel, Word, PowerPoint, etc. Modem office procedures, methods, and computer equipment. Principles of basic report preparation Business correspondence writing and basic report preparation techniques Use and operate a computer including specialized software. Operating and normal maintenance of office machines, (copier, computer, printer, fax, etc.). Tracking of activities, supplies and authorizations via specialized software or self-created forms and databases. Accurate data entry and correspondence preparation.


Other Requirements: Minimum Education and Certification: Equivalent to completion of High School or GED. Minimum Experience: Minimum 6 months experience in an administrative support and/or bookkeeping.


Preferred Skills: Learn and understand the organization and operation of the City and of outside agencies as neces sary to assume assigned responsibilities. Set well defined and realistic personal goals, displays a high level of initiative and effort toward completing assignments in a timely manner. Self-manage and work independently. Attend to detail - Is thorough when performing work and conscientious about attending to detail. Use efficient learning techniques to acquire and apply new knowledge and skills, using training, feedback, or other opportunities for self-learning and development. Maintain confidential records and reports. Communicate clearly and concisely, both orally and in writing. Establish and maintain effective working relationships with those contacted in the course of work. Apply City policies and procedures pertaining to administration. Prepare clear and concise reports. Work the allocated hours of the position.


Wage: \$19.70 - \$21.74


Shifts: Monday Through Friday
