About Fort Logan


The Colorado Mental Health Institute at Fort Logan (CMHIFL) is one of two state hospitals serving our community. The vision of CMHIFL is to provide the highest quality mental health services to persons with complex, serious, and persistent mental illness within the resources available. Our mission is to support those individuals in achieving their recovery goals and reaching their full potential. CMHIFL provides inpatient treatment to adult patients,


generally between the ages of 18-59. The hospital currently has 138 adult inpatient beds, over six treatment milieus serving civil and forensic individuals. Medical services, occupational therapy, neuropsychological-rehabilitation services, and trauma-informed care services are available for all patients throughout the hospital.

Description of Job


Purpose Of This Position


Provide administrative support and assistance to a multidisciplinary clinical treatment team consisting of nurses, mental health clinicians, social workers, psychologists, and psychiatrists.


Job Duties


  • Responsible for coordinating and overseeing the day-to-day office functions to ensure smooth and professional operations on the team. Uses discretion and problem solving skills when answering difficult calls on the team to ensure issues are resolved.
  • As the Unit Time Manager, this position is responsible reconciling, preparing, and managing monthly and bi-weekly timekeeping for 30 plus employees.
  • Other duties as assigned
  • This position does this while adhering to all Medical Records policies and procedures.
  • Independently monitors, tracks, collects, compiles and maintains hospital medical records as defined by Joint Commission standards, the hospital Medical Records Department, and other governing agencies.
  • Organizes patient medical charts, according to the Medical Records guidelines and Health Insurance Portability and Accountability Act (HIPAA) standards.
  • Compiles information and oversees the movement of all patients in the Electronic Health Record including: seclusion and restraint, absence without staff consent, passes, discharges, and outside medical appointments.
  • Ensures availability and accuracy of downtime bins, patient labels, patient documentation, new admission charts and processes should the Electronic Health Record go down.

Experience


Minimum Qualifications:


Three years of administrative and clerical experience in medical, clinical or office setting.


Substitutions


Appropriate education will substitute for the required experience on a year-for-year


basis.


Preferred Qualifications


  • Computer Skills including Microsoft 365 and Google Workspace Applications
  • Administrative experience in a hospital setting and/or behavioral healthcare setting
  • Experience and knowledge of HIPAA rules
  • Communications experience in customer service in a fast paced work environment.
  • Work experience in a safety or security setting


Conditions of Employment


The successful candidate in this position must be willing and available to submit to the following conditions:


  • On or after October 31, 2021, each facility shall ensure all newly hired employees or support staff members are fully vaccinated at the time of hire or receive their first dose of a two-dose protocol, or a single-dose vaccination, prior to providing any care, treatment, or other services for the facility and/or its clients. Upon hire, new employees will have three (3) business days to provide attestation to their status with proof of vaccination. Vaccinated employees must provide proof of first dose prior to providing care.
  • Note: Fully Vaccinated means two (2) weeks after a second dose in a two-dose series of the COVID-19 vaccine, such as the Pfizer, Moderna or Novavax vaccine, or two (2) weeks after the single-dose vaccine, such as Johnson & Johnson’s Janssen vaccine.   • Must be able to pass a CBI name check and fingerprint check, ICON Colorado court database, Medicare fraud database, Reference checks, PREA, Trails check, CAPS.
  • Must be available for shift work may be requested to work various hours for coverage outside of normal business hours
