We are seeking an Operations Specialist I who will support our Business Development department. This role requires excellent attention to detail and time management skills, and advanced knowledge of Excel, including VLookup (or XLookup), pivot tables, and nested formulas.

This role is FULLY REMOTE and can be worked from anywhere in the 50 states of the US, or Washington DC. We cannot consider applicants who live outside these areas or candidates who require sponsorship to work in the US.

Work Schedule:
- Monday - Friday9am - 6pm EST (8am-5pm CST)
- Must be flexible during peak times of the year to work extended hours and weekends if needed
Pay Range:
- $24-26/hour
Primary Duties Daily:
- Manage Sales Orders:Create Sales Order upload files for orders that are not automatically transmitted into the ERP system via API
- Create and release vendor Purchase Orders from the customer Sales Orders, and send to vendors via API
Confirm with vendors the PO’s sent to them have been received and are being processedFor PO’s not sent via API, create an Excel file and upload to the secure cloud portal for vendor retrieval
Document date the PO files were confirmed as received by each vendor
- Return/Damage/Lost in transit products:Coordinate with vendors for RMA/replacements and reships
- For vendors who are not linked to our ERP system via API, obtain and upload product tracking files into the ERP system
- Maintain an Open Issues List and drive closure on those issues
- Identify product backorders and work with Procurement for resolution
- Ensure shipping Service Level Agreements are met per client contracts
Communicate with Customer Service to confirm the correct reship addresses if needed
Document reship tracking information and update in the ERP system
- Vendor Credits:Document any PO/vendor credits due to Innowave Marketing Group for Finance
Follow up with each vendor to ensure credits are received & emailed to Finance
- Interact with all Innowave departments to ensure client program needs are exceeded
- Attend department meetings and planning sessions
- Other duties as needed.
- Collaborate and communicate effectively with internal and external stakeholders, including clients, vendors, and customers of the clients.
- Retail Purchases:Confirm creation and/or cancellation of PO’s with vendors & document for Finance
- Work with vendors and Finance regarding invoice pricing/quantity discrepancies
- Assisting sales team with Innowave marketing efforts
Qualifications:
- Must have Advanced Excel skills (vlookups pivot tables, etc.)
- Must be able to be present for video conferences
- Able to thrive in and adapt to an extremely fast-moving, dynamic environment
- Excellent verbal and written communication skills
- Ability to work independently with little supervision
- Exceptional attention to detail and adherence to deadlines
- Proficient using MS Office Suite
- Exceptional time management skills
- Proven team player who is willing to contribute in any way necessary in order to meet the needs of our clients
- Ability to prioritize among competing tasks, and shift to higher priority tasks with short notice
- Proficient using Cloud Based ERP Software
Job Type: Full-time
Pay: $24.00 - $26.00 per hour
