Assistant Project Coordinator
Location: Troy Mi – 100%Remote
Hours: 20-40 a week depending on projects
Rate: $30 an hour
Kelly’s client’s business is growing rapidly, and they need a Project Coordinator immediately. Looking for someone who is a quick study, self-motivated, detail oriented, great at communicating, highly organized, multi-tasker, and can be trusted to effectively coordinate the efforts of cross-functional project teams with limited supervision. In this role, you will work with the Senior Project Manager to ensure successful and timely completion of company’s priority projects and programs. Must be a team player, have a positive attitude, and someone that is able to communicate with all levels of the organization.
Duties and Responsibilities:
- Other duties may be assigned based on business priorities.
- Coordination of resources, meetings, and events including scheduling, setting meeting agenda, and capturing meeting notes, and tasks.
- Run calls, visit/ act as a liaison with vendors, defining scope, gathering requirements, testing, and handling reviews/approvals of deliverables.
- Provide strategical inputs on planning, standardization, operations, automation, materials management, and other initiatives.
- Communicate effectively with the project teams via calls and emails, ensuring commitments are met.
- Managing development of projects’ publications including Newsletters.
- Creating and managing project schedules, milestones, timelines, and dependencies as needed
- Stakeholder integration and resource planning, as well change management on projects.
- Support teams with checklists, standard processes development details, and useful resources.
- Manage vendor’s documentation and versioning (archiving files) including design reviews and approvals, payments and quotes, layouts, and all files.
- Creating and managing documents on MS Teams and SharePoint
- Monitor progress on deliverables, action items, decisions, and escalate risks /issues.
- Assisting with events management and coordination of details start to finish- including planning agenda, participants, venue, and capturing takeaways. Then following up on actions items.
Required Skills:
· Must have minimum of 1-2 years of experience with Project Planning and Project Management
- Ability to travel 5-10% or as needed.
- Exceptional verbal, written, and visual communication skills.
- 2-year degree in business or related field
- Demonstrate basic knowledge of Project Management methodologies/basics.
- CAPM Certified or other Project Management certifications is a plus.
- Strong proficiency working in Microsoft Office, specifically Excel, Outlook, and PowerPoint.
