Executive Assistant / Project Manager 10 Hours Per Week (Ic-Jb)

As an Executive Assistant / Project Manager, you will play a crucial role in managing the calendar, booking podcast guests, downloading videos, managing links, and overseeing the customer service inbox and email list. You will also have the opportunity to work on various projects as needed. The ideal candidate is proactive, has excellent communication skills, and is experienced in executive assistance and project management. You will work closely with the Director of Operations to ensure the smooth and efficient running of the business.
Key Responsibilities

• Oversee the customer service inbox, responding to inquiries in a timely and professional manner.
• Manage and coordinate the booking of podcast guests, ensuring a seamless scheduling process.
• Collaborate with the Director of Operations on various projects as needed to support our business goals.
• Manage and maintain our email list, ensuring accurate segmentation and effective communication.
• Manage and update links for various digital assets, ensuring accuracy and accessibility.
• Manage and organize the company calendar, including scheduling appointments, meetings, and events.
• Download and organize videos from various platforms for easy access and distribution.

Requirements

• Ability to work and deliver tasks during normal business hours (a must).
• Excellent communication skills, both written and verbal.
• Flexibility to increase working hours as needed and a desire to grow with the company.
• Hours: Part-time (10 hours per week, with availability to increase as needed and desire to grow)
• Location: Remote (Eastern, Central, Mountain, or Pacific Time Zone)
• Proven experience as an Executive Assistant and/or Project Manager (a must).
• Ability to manage up and work effectively with team members at all levels.
• Proactive and able to anticipate needs and take initiative.
• Strong organizational skills with a Type A personality and attention to detail.
• Proficiency in using platforms such as Google Office Suite, Kartra, AirTable, Zoom, and OnceHub.
