We are looking for a reliable Administrative Assistant to join our team in our Baton Rouge office. This person will work to support the daily operations of the office. (10am - 7pm)


They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The tasks of the administrative assistant include carrying out day-to-day organizational tasks and facilitating efficient communication across an entire office or specific department. They answer phones, manage office calendars, update databases and complete general clerical work and recordkeeping tasks. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. The administrative assistant ensures smooth running of our company’s offices and contributes in driving sustainable growth.


Responsibilities:


  • Arranging staff meetings and scheduling appointments
  • Supervise administrative staff and divide responsibilities to ensure performance
  • Keeping the office database and filing system up to date and organized
  • Answering or transferring phone calls and taking messages for select staff members
  • Submit timely reports and prepare presentations/proposals as assigned
  • Update president on daily operations including status on tasks giving
  • Maintaining the office calendar
  • Manage agendas/travel arrangements/appointments etc. for the upper management
  • Sorting and delivering all mail and faxes
  • Track stocks of office supplies and place orders when necessary
  • Coordinate office activities and operations to secure efficiency and compliance to company policies
  • Purchasing office supplies and work with vendors
  • Writing memos, correspondence, invoices, receipts, spreadsheets and other reports as needed
  • Create and update records and databases with personnel, financial and other data
  • Working with office equipment vendors to purchase and maintain office equipment such as printers and fax machines
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)

  • Outstanding communication and interpersonal abilities

  • Qualifications in secretarial studies will be an advantage
  • PAY RANGE: Based on experience.
  • Excellent organizational and leadership skills
  • Excellent knowledge of MS Office and office management software (ERP etc.)
  • Familiarity with office management procedures and basic accounting principles
  • Proven experience as an office administrator, office assistant or relevant role
  • Bilingual is a plus!
  • High school diploma; BSc/BA in office administration or relevant field is preferred.
