Overview
- Coordinate performance reviews as directed.
- Coordinate, organize and prepare presentation materials and event information for a variety of venues.
- Prepare communications in written form, i.e., memos, letters and reports on behalf of the VP of Operations or Regional Directors of Operations.
- Prioritize and manage multiple projects simultaneously, follow through on issues in a timely manner.
- Close coordination and support with the VP of Operations to manage meetings, calendars, and priority commitments.
- Facilitate Monthly tactical meetings between VP of Operations and Regional Directors of Operations.
- Work with third party vendors as needed.
- Set up conference calls as directed.
- Screen incoming calls, in-person inquiries, and correspondence and respond independently when possible.
- Monitor, oversee and prepare minutes on conference calls as assigned.
- Prepare expense reports on expense reporting system for VP of Operations or Regional Directors of Operations as directed
- Assist VP of Operations with planning of both internal and external meetings. Including preparation of meeting agendas and presentations.
- Collect and distribute data to Senior Level Managers or others as needed or directed.
- Prepare electronic communications as needed on behalf of the VP of Operations or Regional Directors of Operations.
- Perform duties related to the operations department as assigned.
- Accurate typing and data entry skills.
- Ability to continually promote a positive work environment.
- Ability to adapt to changing priorities.
- 2 + years experience as an administrative assistant.
- Detail oriented
- Ability to work and solve problems independently.
- Ability to multi-task, prioritize and meet deadlines within a team environment.
- Excellent oral and written communication skills.
- Excellent organizational and time management skills.
- High school Diploma or GED.
- Ability to lift 20 lbs.
- Strong computer proficiency including Office Suite and Smartsheet.
- Maintain confidentiality.
