Job Description
Overview

Responsibilities of this position include a wide range of complex administrative and executive support to the VP of Operations and Senior Management Team. It also includes travel and event coordination for the companies of Therapy Management. Support the company mission, vision and core values in a proactive, ethical, and serving manner and also keeping the three circles of Therapy Management’s Hedgehog concept.


Responsibilities


Duties and Responsibilities:


  • Coordinate performance reviews as directed.
  • Coordinate, organize and prepare presentation materials and event information for a variety of venues.
  • Prepare communications in written form, i.e., memos, letters and reports on behalf of the VP of Operations or Regional Directors of Operations.
  • Prioritize and manage multiple projects simultaneously, follow through on issues in a timely manner.
  • Close coordination and support with the VP of Operations to manage meetings, calendars, and priority commitments.
  • Facilitate Monthly tactical meetings between VP of Operations and Regional Directors of Operations.
  • Work with third party vendors as needed.
  • Set up conference calls as directed.
  • Screen incoming calls, in-person inquiries, and correspondence and respond independently when possible.
  • Monitor, oversee and prepare minutes on conference calls as assigned.
  • Prepare expense reports on expense reporting system for VP of Operations or Regional Directors of Operations as directed
  • Assist VP of Operations with planning of both internal and external meetings. Including preparation of meeting agendas and presentations.
  • Collect and distribute data to Senior Level Managers or others as needed or directed.
  • Prepare electronic communications as needed on behalf of the VP of Operations or Regional Directors of Operations.
  • Perform duties related to the operations department as assigned.


Qualifications


Qualifications:


  • Accurate typing and data entry skills.
  • Ability to continually promote a positive work environment.
  • Ability to adapt to changing priorities.
  • 2 + years experience as an administrative assistant.
  • Detail oriented
  • Ability to work and solve problems independently.
  • Ability to multi-task, prioritize and meet deadlines within a team environment.
  • Excellent oral and written communication skills.
  • Excellent organizational and time management skills.
  • High school Diploma or GED.
  • Ability to lift 20 lbs.
  • Strong computer proficiency including Office Suite and Smartsheet.
  • Maintain confidentiality.
