We are seeking an Administrative Assistant with 2+ years of experience to join our team in the Houston, TX office.

The essential functions include but are not limited to the following duties and responsibilities, which are listed in no order of importance:
- Purchase, receive, and store the office supplies ensuring that basic supplies are always available
- Coordinate office procedures
- Make travel, meeting and other arrangements for staff
- Provides front desk support
- Coordinate local office events
- Sorts incoming mail, faxes, and courier deliveries for distribution
- Greet and assist visitors to the office
- Develop and update administrative systems to make them more efficient
- Prepares reports, proposals, memos, minutes and other documents as needed
- Handle differing situations, problems, and deviations in the work of the office according to the manager's general instructions, priorities, duties, and goals
- Research and create presentations
- Code and file material according to the established procedures
- Provides administrative support to management and staff ensuring efficient day to day operations of the office
- Resolve administrative problems
- Data entry as required
- Prepares outgoing mail, faxes, and courier parcels
- Reply to email, telephone or face to face enquiries
- Strong organizational and planning skills
- High School Diploma or equivalent; college degree preferred
- Proficient in the use of Microsoft Office, Outlook, PowerPoint and Internet
- Knowledge of office management systems and procedures
- Possesses excellent oral and written communication skills, and basic math functions
- Ability to operate copy machine, scanner, and fax machine
- Ability to read and interpret documents
- Attention to detail and problem-solving skills
- Excellent time management skills and ability to multi-task and prioritize work
- Ability to work independently
- 2+ years prior administrative experience
Physical Demands
The physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job. Hand-eye coordination is necessary to operate a computer, keyboard and mouse. Use of a telephone headset will allow for virtual communication with team members through Zoom and/or Microsoft Teams. While performing the duties of this job, the employee is often required to sit for prolonged periods, use hands/fingers to handle, feel or operate objects, tools or controls and reach with hands and arms, speak and hear. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
