We are seeking a Administrative Assistant to provide administrative support for teams consisting of VPs, Executive Directors, and/or Senior Directors. The position will report directly to the department’s Senior Executive Assistant or Executive Administrative Business Partner. This position is required to work in the Gaithersburg office, Monday through Friday, Core hours are 9am – 5pm.


Responsibilities Include But Are Not Limited To


  • Ability to effectively communicate and liaise with global stakeholders
  • Developing and maintaining expense reports
  • Assisting with special projects and research as needed
  • Establishing and maintaining an accurate and organized file system on SharePoint
  • Maintaining schedules and calendars, including scheduling across multiple time zones
  • Coordinating and tracking constantly changing travel schedules for leaders and staff members for domestic and international travel
  • Other duties as assigned.
  • Preparing purchase orders, assisting with invoicing/budgeting and working with the finance department to resolve issues.
  • Proactively manage information and follow up
  • Preparing communications (letters, email, presentations)


Minimum Requirements


  • Strong interpersonal skills
  • Highly flexible and able to work with ambiguous requirements
  • Strong written and verbal communication skills
  • Highly competent, outstanding organizational skills, detail oriented and thorough follow through
  • Must have knowledge of MS Office and familiarity with Word and PowerPoint
  • Team player and collaborative personality
  • 2-4 years of administrative experience
  • Must be proactive and experienced in helping manage the business
