Job Description

Executive Assistant to the President

Columbia, MD

$65K - $80K base


John Evans Recruiting is currently seeking a highly motivated and organized individual to join our client, a fast-growing investment consulting firm in Columbia, as an Executive Assistant to the President. This critical role will provide direct support to the executive leadership team, ensuring smooth operations and facilitating efficient communication within the organization.Below are some of the highlighted experiences:


Responsibilities:

Administrative Support:

  • Manage travel arrangements and itineraries for business trips.
  • Prepare and organize meeting materials, including agendas, presentations, and reports.
  • Act as the primary point of contact for the President, managing their calendars, scheduling appointments, and coordinating meetings.
  • Handle email correspondence and phone calls on behalf of the executives, ensuring timely and appropriate responses.
  1. Communication and Coordination:
  • Coordinate and assist with the preparation of internal and external communications, including memos, announcements, and company updates.
  • Facilitate effective communication between the executive team and various internal and external stakeholders.
  • Collaborate with department heads and team members to gather information, track progress on projects, and assist in decision-making processes.


Financial Support:

  • Assist the President in financial tasks, such as expense reporting, budget tracking, and invoicing.
  • Collaborate with accounting and finance teams to streamline processes and improve efficiency.
  • Help maintain financial records and ensure accuracy and confidentiality of sensitive financial information.


Project Management:

  • Conduct research and gather data to aid in decision-making and strategic planning.
  • Support the executive team in special projects and initiatives, tracking milestones and deadlines.


Office Management:

  • Oversee office supplies, equipment, and maintenance to ensure a well-functioning workspace for the executive team.
  • Address any office-related issues promptly and efficiently.


Minimum Requirements:

  • Proficiency in using office software (e.g., Microsoft Office Suite, Google Workspace).
  • Proven experience as an Executive Assistant or similar role, supporting C-level executives is highly desirable.
  • Bachelor's degree or equivalent experience preferred.
  • Discretion and confidentiality when dealing with sensitive information.
  • Exceptional organizational and time management skills with the ability to handle multiple tasks and prioritize effectively.
  • Strong written and verbal communication skills, with keen attention to detail.
  • Adaptability and the ability to thrive in a fast-paced, dynamic environment.
