- Performs clerical and administrative tasks, including drafting letters, DocuSign, documents uploads/downloads, memos, invoices, expense reports, and other documents for senior staff.
- Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and distributes contents to appropriate staff.
- Accurately and efficiently use the EMR systems.
- Managing the executive's calendar, including making appointments and prioritizing sensitive matters.
- Performs office tasks, including maintaining records, ordering supplies, and performing basic bookkeeping.
- Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
- Arranges travel and accommodations for executives and senior staff.
- Bachelor's degree in Business Administration or a related field is preferred.
- At least four years of related experience is required.
- Familiarity with law, legal procedures, and protocols is a plus.
- High school diploma is required.
- This position will not require travel.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Must demonstrate a demeanor of integrity, professionalism, and confidentiality.
- Excellent verbal and written communication skills.
- Extremely proficient with Microsoft Office Suite or similar software, Excel spreadsheets, presentations, email, and electronic calendar applications.
- Excellent time management skills with a proven ability to meet deadlines.
- Excellent organizational skills and attention to detail.
- Excellent customer service skills.
- Must possess the drive, passion, and willingness to learn.
- Ability to function well in a high-paced and, at times, stressful environment.
- Able to type a minimum of 40 words per minute.
- Intermittently required to stoop, bend, speak, and listen.
- Able to sit, stand, and or walk throughout the day.
