JOB SUMMARY: This position reports to the Office Manager and collaborates regularly with the Administration team. The ideal candidate is a self-starter, who exercises critical thinking, takes initiative, and drives projects and tasks to completion. This individual should be able to multi-task, manage a fast-paced work environment, and have the ability to work collaboratively, creating a positive and seamless experience for guests and employees alike.
DUTIES AND RESPONSIBILITIES:
Administrative Duties:
  • Monitor general office supplies and order as necessary
  • Assist with registrations and materials for meetings/trainings as requested
  • Maintain open line of communication with office manager and receptionist regarding office activities.
  • Notifies managers of special access requests
  • Collect and sort mail for the office
  • Assist in managing conference room calendars: approve/deny meeting requests while also balancing prioritization and diplomatically resolving room conflicts
  • Answer phones, monitoring voicemails, screening, and directing calls to appropriate personnel
  • Coordinate travel and lodging reservations as requested
  • Troubleshooting and contacting corresponding contractor/vendor if kitchen appliances are out of order
  • Assist with deliveries as well as internal and external shipments
  • Maintain cleanliness throughout the office space, from running and unloading dishes in the kitchen to tiding up conference rooms and composting
  • Monitor and order kitchen inventory. Restock the kitchen throughout the day
  • Create and deactivate FedEx accounts as requested
  • Prepare shipping labels for outgoing mail/packages
  • Update historical excel document for orders.
Accounting/Finance Team Assistance:
  • Enter bills and assist with sending out checks
  • Prepare expense & specialty reports as requested
  • Manage Payables email and collaborate with the Accounting team
General Office Collaboration:
  • Serve as Receptionist when coverage is needed
  • Direct guests to appropriate staff members and offices
  • Coordinating and budgeting office events, such as ordering and setting up/breaking down lunches
  • Point of contact for new hires, directing to IT and Hiring Manager
DESIRED QUALIFICATIONS:
  • Outstanding problem-solving, and time management skills
  • Must possess excellent oral and written communication skills
  • Strong interpersonal skills and effective internal customer contact is required
  • Strong sense of teamwork, including willingness to help when there is a need
  • Must possess strong organizational skills and can prioritize responsibilities
  • Must be fully proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
  • Strong sense of confidentiality and discretion
  • Ability to interact with all levels of internal and external personnel in a mature, professional manner
