This will be a full time 100% career position in the Department ofNeurosurgery, PediatricPhysiatry Program. The AdministrativeAssistant III will in an administrative setting within the Department of Neurosurgeryin the David Geffen School of Medicine. You will act as a central key administrative assistant whowill fulfill administrative duties, dependent on the needs and requirements ofthe department. The AdministrativeAssistant will provide coordination of care, continuity, follow-up, and support forthe patients and their families. Responsibilities include but are not limited to: answering, triagingand responding to patient phone calls, scheduling clinic appointments, pre andpost scrubbing of clinic appointments, assisting patients with schedulingdiagnostic tests, preparing charts and documents for clinic visits, enterreferrals and orders, coordinatescheduling and management of patient procedures and all follow-up care, assistingwith obtaining insurance pre-certifications and referral authorizations, referralwork queues, process requests for medical records, process medication refillrequests, organize and maintain a computer calendar system, and assist withprocessing disability and return-to-work forms and various letters at patientand provider’s request. You will compose, edit and typeroutine correspondence from general oral and written instructions, maintaincurriculum vitae, maintain reprint file of journal publications, book chapters,copies of manuscripts submitted but not yet published. In addition, you will collect CME- accreditedmeeting documentation for year-end CMA statement of CME credits and also manageacademic calendaring, travel, reimbursements, facilitate maintenance and/orpurchasing of equipment and supplies. Pay range: $26.99 - $38.66 Hourly Salary range: $26.99-$38.66 Hourly
All Required: 1. High degree of adaptability 2. Comfortable with changing work flows 3. Skill in prioritizing assignments to complete work in a timely manner when there are changes in workload and assignments, pressures of deadlines, and/or a heavy workload. 4. Demonstrated basic knowledge of physician office policies and procedures 5. Ability to establish and maintain cooperative and collaborative working relationship with medical, nursing and administrative personnel. 6. Ability to accept ambiguous circumstances and take action where answers to a problem are not readily apparent. All Required 7. Skill in working independently and following through on assignments with minimal direction 8. Knowledge of neurological/neurological surgery/orthopedic surgery medical terminology to communicate effectively with physicians, nurses and other members of the health care community. Current knowledge of neurosurgical diagnosis, treatments, and terminology 9. Working knowledge of patient related policies and procedures, as well as a thorough understanding of the University system 10. Familiarity with physician office billing procedures
