Job Description
Summary Of Position
Working independently, under the guidance of the Deputy Director, Manager of Finance, and Manager of Operations, the Administrative Assistant, Finance and Operations, will take an active role in supporting the day-to-day directives of their supervisors.
Skill And Experience Requirements
  • Excellent attention to detail with the ability to handle multiple projects in a fast-paced environment is a must.
  • Computer skills with knowledge of Microsoft Office Suite
  • Flexibility and the ability to adapt to changing priorities.
  • Minimum of 2 years of experience in
  • Ability to be proactive, use independent judgment, and initiative.
  • Excellent organizational and time management skills.
  • Excellent verbal and written communication skills, with strong attention to detail.
KEY RESPONSIBILITIES
Duties may include, but are not limited to, the following:
  • Manage Guggenheim Abu Dhabi Project team travel logistics, Manager of Operations reviews travel approval forms and the corresponding annual budget, including travel account management
  • Support the Senior Manager of Finance as needed on all aspects of the project financial accounting system, including managing cash flow, tracking expenditures, and preparing quarterly financial reports
  • Co-develop and co-manage all project management deliverables, including annual plans, quarterly progress reports, and annual reports
  • Draft, compile, and issue meeting agendas and minutes
  • Office administrative and maintenance duties to the Guggenheim Abu Dhabi Project Team
  • Calendar scheduling for the New York-based Guggenheim Abu Dhabi Project team
  • Track timely corporate credit card expense report submission and invoice reconciliation for review by the Senior Manager of Finance
  • Management of SharePoint and OneDrive filing procedures and processes for the Guggenheim Abu Dhabi Project team shared libraries
  • Support the Senior Manager of Finance in the development and analysis of annual budgets
  • Management of Guggenheim Abu Dhabi Project Team bi-weekly activity summary report submissions; draft submissions of bi-weekly activity summary reports for Deputy Director, Senior Manager of Finance, Manager of Operations, and Administrative Assistant of Finance and Operations
WORK DEMANDS and ENVIRONMENT :
  • Ability to work nights, weekends, and holidays on occasion.
  • Ability to travel within the metropolitan area as required to perform the above duties at any of the Guggenheim’s owned or leased properties upon request.
  • Ability to lift at least 25 lbs.
  • Occasionally work may be conducted outdoors, with exposure to varied weather conditions.
EDUCATION :
  • High School Diploma or equivalent required.
  • Bachelor’s Degree

REPORTS TO: Curator and Interim Director Curatorial Affairs
LOCATION : One Liberty Plaza, New York, NY
WORK SCHEDULE : 40 Hours per Week, Schedule TBD
POSITION TYPE : Full-time, Non-Exempt, This position will become a position covered by a Collective Bargaining Agreement with Local 2110 UAW.
SALARY RANGE: $60,000 annually
