Requires the ability to provide direct administrative and technical support to executive management and general administrative support to other directors, managers and branch staff; manage and coordinate officers’ calendars and appointments; manage and coordinate travel arrangements; prepare and complete expense vouchers for directors and managers; organize meetings and oversee all administrative requirements for attendees; work unsupervised by managing time effectively setting priorities amid multiple tasks and deadlines; and accommodate a range of routine and complex issues. Candidate must demonstrate good written and oral communication skills; the ability to problem-solve to reach effective solutions and to provide exemplary customer service in an ever-changing work environment. Candidate must also have strong interpersonal communication and organizational skills in order to collaborate with the administrative services team and staff members; direct telephone calls to appropriate person(s) or office; and organize and maintain files, records, manuals, handbooks, and other related materials.
Candidate should be able to quickly comprehend and implement Board and division administrative policies; to demonstrate competent use and understanding of the Microsoft 365 Professional Office Suite (Word, Excel, PowerPoint, etc.); to demonstrate proficiency with Microsoft Outlook email and calendar functions; and to quickly learn and use the E2 Solutions Travel System.
Candidates at the FR-22 level will be required to work on routine and repetitive assignments; and compose email correspondence. It is preferred that they have four years of experience providing administrative support.
Candidates at the FR-23 level will be required to work independently; compose and prepare a variety of correspondence, reports, and forms on behalf of directors and managers; and operate effectively as primary point of contact and liaison on behalf of executive management. It is preferred that they have five years of experience providing administrative support.
Candidates selected for an interview may be required to complete Board-administered Microsoft proficiency tests, a writing exercise, and a proofreading test.
The Division of Consumer and Community Affairs (DCCA) has resumed an in-office presence. Our flexible hybrid work environment requires employees to be physically present in the office a minimum of 4 days per month. This includes a monthly core day. On occasion, DCCA staff may be expected to be physically present in the office more than 4 days per month, as required by business needs, but can work remotely the remaining days.
