Overview


Provide administrative support services for the Commercial Property Manager, Assistant Manager and Leasing team to facilitate smooth operations for a designated work team within the organization. This position will interact with a diverse group of internal and external clients at all levels of the organization. Sound judgment is required in order to plan, prioritize, and organize a diversified workload to ensure the delivery of high-value support and related services.


Responsibilities


  • Escort special tour Requests when needed
  • Schedule and organize activities, such as meetings, conference calls, travel, employee events, broker tours, and related logistics
  • Act as liaison with other departments as necessary
  • Maintain Property employee time records
  • Maintain and manage Office Supplies, staff uniforms and consumables
  • Oversee and assist as needed in coding of invoices into Workflow
  • Prioritize, organize, prepare and distribute internal/external documents, including Purchase Orders, Worker Orders, Memoranda, Processing NDA’s, letters, weekly reports, Leasing presentations, Vendor Insurance etc., and ensures accuracy thereof
  • Assist with special projects as directed
  • Field and prioritize incoming calls and correspondence
  • Maintain discretion in the handling of confidential information
  • Carry out routine tasks with little supervision
  • Ensure accurate maintenance of digital and paper documents and databases for efficient retrieval and disposition
  • Perform other duties as defined by assigned department
  • Serve as a resource, advocate, and catalyst for sustainability at The Durst Organization. Apply the skills unique to your core job responsibilities for practical integration of sustainability into processes, standard operating procedures, and adopted business practices. Seek to empower our colleagues, consultants, tenants and residents to prioritize and actively engage in environmental stewardship.
  • Maintain Critical Dates Log and Calendar for the Property


Qualifications


  • Possess high level of attention to detail
  • College Degree or relevant office administration program certification preferred
  • High School diploma or GED required
  • Ability to interact effectively with diverse groups
  • Intermediate to advanced proficiency in Microsoft Office applications, such as Word, Excel, Outlook, PowerPoint
  • Ability to work independently and in team settings
  • Effective oral and written communication.
  • Maintains a professional demeanor
  • 3-5 years of administrative experience


Salary Range: $60,000 - $70,000
