We are a small (but mighty) female-founded company, and this role is a great way to join an ecommerce startup from the ground up. You will have the opportunity to make a huge impact on a fast-growing company while gaining invaluable exposure to all aspects of running an ecommerce business. We are looking for employees who take ownership over their role and have the potential to grow with us and take on even bigger responsibilities over time.

We are seeking a detail-oriented, organized, and self-motivated Wholesale Coordinator to assist in managing daily wholesale operations. Key areas for this role include order management, servicing accounts, and acting as a liaison between internal teams with the goal of facilitating sales and providing an excellent experience for our wholesale customers. This role reports directly to the Sales Director. The ideal candidate will live near San Francisco, CA, where our office is located (we are currently hybrid and come into the office twice a week) but we will also evaluate remote candidates who reside in the states of CA, OH, and FL. RESPONSIBILITIES
Order Management
  • Understand vendor manuals for national accounts, including packaging and tagging requirements. Clearly communicate all requirements to our 3PL for fulfillment
  • Manage all product listings on Faire and Brandoom, including setting up new products or collections for customers to shop
  • Work with internal Planning and Production teams to ensure adequate inventory availability for orders with future delivery
  • Process all wholesale orders using Shopify, Faire, or Brandboom from start to finish. This includes communicating any stock issues, adding shipping costs, and entering tracking information
  • Track Accounts Receivable to ensure timely receipt of payment for accounts with net terms
  • Manage EDI for relevant customers; help implement new EDI partnerships as needed
Account Setup and Management
  • Manage inbound wholesale applications
  • Manage and complete all new product forms and item set-up for national wholesale accounts, and update as needed
  • Manage a database of wholesale customer account information, including contact information and payment terms
  • Responsible for ensuring tax documentation is uploaded in applicable platforms
  • Set up all new wholesale accounts in Brandboom and request all relevant documentation
Customer Support and Sales
  • Create wholesale line sheets and presentations as needed to assist with the sales process
  • Upkeep customer resources including Product Knowledge Guide, UPC database, and shared product imagery folders
  • Provide excellent support to wholesale buyers and professionally handle inquiries including product questions, order progress, inventory, etc.
  • Assist Sales Director with executing customer outreach initiatives
  • Help execute at least 3 trade shows a year
  • Coordinate and send samples as needed, and follow up on all samples
  • Provide post-order support, especially with first-time buyers, to ensure satisfaction with their order and answer any questions
Skills And Requirements
  • Excellent written skills, with the ability to generate clear, concise, professional, and grammatical communications
  • Bachelor’s degree
  • Proficient in Excel and G-Suite applications (Slides, Sheets, Docs)
  • A dog lover, of course!
  • 1+ year of experience in a similar role/environment
  • A proactive problem solver with a natural instinct to try to solve the issue yourself first, then escalate as needed
  • Strong project manager with the ability to multitask and prioritize workload in a fast-paced environment with many competing priorities
  • Highly organized with exceptional attention to detail
  • Ability to travel to trade shows as needed
  • Positive and can-do attitude with a willingness to roll up your sleeves and take on any task that’s needed. A desire to get things DONE above all else
  • If remote, ability to travel to the San Francisco office at least 2x a year
