Vice President, Global Project Management/ FT, Perm W2

Location: Remote. Based in US East or Central Time Zone

Travel: 3-4 days per month to meet with colleagues and clients, and/or attend new business pitches; Ability to travel internationally to EU or Canada 2x per year



Position Overview

The Vice President, Global Project Management is responsible for the success of The Client's project management (PM) efforts across all company teams and clients. This collaborative leader is responsible for sourcing, developing, managing, and mentoring their team of project managers while engaging face-to-face with clients to ensure they have the right support and service from the PM group given their contracts.


This approachable expert oversees the successful integration of PMs in the most effective and efficient ways to ensure flawless execution of workstreams for client deliverables and key internal efforts assigned by Executive Leadership. This is a group leadership position that works closely with cross-functional colleagues to ensure gold-standard project leadership and management, continuously optimizing where and what we handoff throughout project lifecycles, however, we are a culture of diving in and rolling up our sleeves whenever appropriate.


Key Responsibilities & Deliverables


Department Operations: Serve as the primary operational partner for top-notch project management stewardship, process excellence, and communications with the charter of always evolving Company’s PM discipline as relevant systems, technologies, and techniques arise

  • Lead resource allocation across the entire company, working with key business unit leads to ensure we have the right people allocated
  • Contribute to company marketing and thought-leadership efforts upon request
  • Ensure comprehensive delivery workflows, communication milestones, approval points, and revision collaborations for flawless execution across all key project stakeholders, ensuring compliance internally and externally
  • Create, own, and integrate team in Wrike workflows, tasks, and time assumptions
  • Proactively identify workflow and resource gaps, leading efforts for improvement
  • Manage and deliver regular project pacing reports with suggested next actions for the PM team, Client Services, cross-functional leaders, and executives
  • Refine PM operations based on evolving media and business needs with a focus on efficiency and quality of work delivered
  • Host regular sessions internally to share results and refine team hand-offs and interactions
  • Lead an efficient and effective project delivery process to ensure all projects are flowing through the agency according to the importance, significance, and urgency of deliverables
  • Establish and nurture relationships with internal team leaders to ensure effective collaboration and close gaps through creative solutions
  • Create, document, and promote PM department SOPs to ensure adoption and pull-through



Team Leadership, Employee Development, & Success: Lead team in ensuring we are adhering to approved scope and budget, ensuring proper time allocation for projects by role, level, and availability


  • Ensure successful onboarding, training, team integration, and client engagement among the PM team
  • Ensure proper workload among PM team members, adjusting and filling gaps
  • Aid in sourcing, recruiting, and selecting qualified PMs to fill open positions
  • Guide PM team members on critical collaboration and hand-off points, ensuring alignment and acceptance between all cross-team and external parties involved in each partnering closely with the VP, of Client Services to ensure seamless integration
  • Manage and mentor PMs to build strong relationships and provide the highest quality of project engagements
  • Lead department staffing, and assignment of accounts and projects by individually playing to the qualifications and strengths of each
  • Support the development growth and retention of each PM team member through annual goal and action planning, quarterly check-ins, and annual performance reviews
  • Drive adoption of SOPs through effective training, coaching, and communications



Client Delivery and Workflow Stewardship: Assure The Company is engaging effectively to integrate our resources, client stakeholders, and external partners with maximum efficiency

  • Customize team collaboration, hand-off points, and participation of the right collaboration, review, approval, and handoff points
  • Own and lead the effective onboarding of new and exit transitions for client accounts
  • Attend relevant client briefings, input sessions, and pitches as needed to assure proper integration of all internal and external participants
  • Support business development and company growth efforts by contributing to RFIs and RFPs, developing proposal timelines, creating pricing proposals, staffing models, and specific responses related toTe company’s PM team and process
  • Led project estimating and scoping process for SOW development and overall resource allocations, collaborating cross-functionally to accurately define projects, set budgets, develop realistic timelines, and ensure PMs and Client Service partners are closely managing the work according to agreements and budgets
  • Develop strong relationships with cross-functional team members and clients to fully support and integrate the PM team




Qualifications & Requirements

  • 1-2 client references will be required
  • Must be willing to deliver candidate challenge projects within the interviewing process
  • Experience cultivating, managing, and developing remote resources across diverse cultures, personality types, functions, and skills across time zones preferred
  • Must be a solutions-oriented problem-solver who forms strong relationships and invites others in
  • Highly collaborative team player with outstanding organizational skills, time management, interpersonal relations, client collaboration, and attention to meaningful details with exceptional written and verbal communication skills
  • Prior experience managing workstreams for brand planning, media execution, optimization, analytics, and/or campaign reporting for media (programmatic, social media, SEM, SEO, digital, print, broadcast)
  • Power user of MS Word, Excel, and Powerpoint
  • 8-10 years managing projects across multiple companies and internal teams at an ad agency within a project management and/or account services role serving the life sciences/pharma industry
  • Experienced in using and adapting Wrike tools and templates
  • Expertise in development & oversight of project staffing models, client proposals/SOWs, and delivery schedules with careful attention to detail
