Job Description
We are seeking a motivated and dynamic individual to join our team as a Psychiatry Continuing Education and Alumni Coordinator. In this role, you will be responsible for coordinating and spearheading all psychiatry-related continuing educational, development/fundraising, and alumni initiatives. Working closely with the Vice Chair for Education and the Director of Continuing Education, Community, and Alumni Relations (CECAR), you will play a crucial role in program development, operational procedures, communications, and financial management related to educational activities.
Key Responsibilities
Collaborate with the Vice Chair for Education and the Director of Continuing Education to implement new educational program offerings and stay updated on the latest trends in continuing education course delivery.
Maintain and update the continuing education (CE) database, ensuring accurate and current community contacts.
Develop and establish a validated email and postal mail database.
Manage the database and handle information requests from other departments.
Plan, implement, and coordinate special projects and programs, and prepare detailed program reports.
Assist in the establishment of new programs or modifications to existing programs.
Conduct surveys and studies to identify problems, needs, and recommendations.
Stay up-to-date with the status of assigned program areas.
As part of your role, you will also contribute to the fiscal management and finances for the CECAR team, including:
Developing and monitoring compliance with annual budgets for continuing education, alumni, and fundraising/development activities.
Preparing detailed program reports for all CECAR events, activities, and programming.
Consult with program personnel on funding requests and budget availability.
Perform activities related to fiscal management, procurement, supply services, and auxiliary services.
Direct budget preparation, monitor expenditures, and allocate funding sources.
In addition, you will take the lead in developing and executing engaging communication campaigns for primary and secondary markets, including educational offerings, alumni relations, and development/fundraising initiatives. This will involve designing and implementing marketing materials, managing website content, and monitoring web-related statistics to improve services.
Furthermore, you will coordinate complex administrative and business management activities for development/fundraising efforts and assist in coordinating psychiatry-related alumni events. This includes maintaining alumni communication channels, executing marketing initiatives, and liaising with alumni taskforces and special committees.
Required Qualifications
High school diploma and four years of relevant experience in business management, public administration, or administrative services; or a bachelor's degree and two years of experience in the same.
Experience in planning events for both in-person and virtual audiences, including speaker recruitment, event marketing, vendor selection, and budget management.
Strong organizational and analytical skills.
Proficiency in MS Office applications (Word, PowerPoint, Excel) and Adobe products.
Excellent verbal and written communication skills.
Ability to work independently with minimal supervision.
Preferred Qualifications
Experience in programming and researching topics and speakers for educational conferences and workshops.
Proficiency in graphic design software.
Knowledge of Continuing Medical Education policies.
