Job Description

GalaxyCon LLC is looking for a highly organized and detail-oriented Travel Coordinator to join our team. The Travel Coordinator will help manage hotel contracts, hotel rooming lists, flight and ground transportation arrangements for talent and staff, and other travel-related matters for our live events.


GalaxyCon is a worldwide leader in connecting fans with their favorite celebrities, artists, writers, cosplayers, and creators in-person and online. GalaxyCon is the largest independent organizer of Geek Pop Culture Events, which include GalaxyCon, Animate!, and Nightmare Weekend branded events, as well as virtual events featuring celebrity meet and greets, interactive Q&A sessions, and private autograph signings.


This is a full-time position based out of our Fort Lauderdale, FL. offices. This is not a remote position. Salary is based on skill level and experience. Responsibilities:


  • Negotiate hotel contracts for event room blocks for attendees, staff, and talent.
  • Manage hotel invoices and rebates.
  • Work with the event management team to manage travel budgets and monitor travel expenses to ensure cost-effectiveness.
  • Manage hotel relationships, keep track of hotel pick up, and oversee staff and talent rooming lists.
  • Develop travel itineraries and ensure that all necessary travel arrangements are in place.
  • Coordinate travel arrangements for staff and guests attending our events, including airfare, hotel accommodations, ground transportation, and other travel-related services.
  • Provide travel-related support during events, including assisting with transportation logistics and resolving any travel-related issues that may arise.
  • Communicate with staff, guests, and celebrities to confirm travel arrangements and provide any necessary travel-related information.
  • Keep accurate and up-to-date travel records and provide regular reports on travel-related expenses.
  • Coordinate staff travel arrangements for promotional events, private signings, and partner events.


Requirements:


  • Ability to travel to events as needed.
  • Proficiency in Google Docs and Microsoft Office.
  • Knowledge of the travel industry and travel-related policies.
  • Excellent communication and interpersonal skills.
  • Ability to work effectively under pressure and meet deadlines.
  • Strong organizational skills and attention to detail.
  • Minimum of 2 years of experience in travel coordination or a related field.
