Job Description

Summary of Job:

Under general direction of the Director of Skyway, this position performs advanced and responsible staff support work for the Skyway Department.


Essential Job Functions:

  • Screens and answers telephone calls for Managers. Interviews visitors, provides requested information or refers them to the Manager or to the appropriate person for assistance.
  • Completes First Notice of Injury report for maintenance employees and maintains Workers Compensation files. Makes Dr.’s appointments and contacts case management nurse and MRO as needed.
  • Maintains employee’s personnel files.
  • Receives, sorts, routes and prioritizes mail, data, messages, reports, correspondence and other documents. Maintains specialized records of the department to which assigned.
  • Schedules Guideway Worker training with the training department for external vendors.
  • Assists in budget preparation.
  • Coordinates staff member requests for information and meetings with the Manager and prioritizes them for proper time management.
  • Performs related work as assigned.
  • Performs data input and typing of correspondence, memoranda, reports, schedules, statistical data, and other documents from rough drafts, notes and verbal instructions, in rough draft and finished copy.
  • Audits and proofs a variety of statistical reports, records and data specific to the department.
  • Types and logs in purchase orders for Manager and Supervisors.
  • Inputs various data into the computer using Excel spreadsheets to maintain attendance, employee information and other various data.


Supervisory & Operational Authority:

  • This position has 0 direct report(s).


Compliance:

  • Responsible for completing all mandatory training classes.
  • Responsible for reviewing and complying with all JTA policies, procedures and directives.
  • Conforms to all safety rules and wear/uses all appropriate safety equipment.

Position Profile:

Required/ Preferred Experience:

A High School Diploma and a minimum of two-three years administrative support and/or secretarial work. An associate degree is preferred with prior transportation experience.

Knowledge, Skills & Abilities:

  • Working knowledge of office practices and procedures.
  • Working knowledge of Microsoft Suite programs, including Word and Excel.
  • Ability to prepare Excel spread sheets and graphics to create flyers for department.
  • Ability to operate a calculator, fax machine, copier and related office equipment.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to operate a personal computer and to enter data accurately and rapidly.
  • Ability to deal effectively with employees and the public.
  • Ability to establish and maintain effective working relationships with employees at all levels within the Authority.
  • Ability to perform data entry and to type at rate of 50 wpm accurately, with emphasis on typing statistical data.
  • Ability to collaborate as an effective team member.
  • Ability to communicate with co-workers, management, and others in a courteous and professional manner.
  • Ability to handle confrontations constructively.
  • Ability to be able to understand technical information.
  • Ability to work with budget allocations and procurement processes.
  • Ability to work in a maintenance shop environment.
  • Working knowledge of business English, spelling, punctuation and general mathematics.
