Job Description
Overview of Position:
Compiles and maintains accounts payable records.


Description of Duties/Responsibilities/Requirements:
  • Work closely with other departments to resolve discrepancies
  • Maintains current and retention AP files.
  • Prepares and match accounts payable checks.
  • Notifying vendor of freight guidelines and maintains signed letters from vendors acknowledging guidelines.
  • Answers all vendor inquiries.
  • Checks and approves all vouchers for payment.
  • Prepares and uploads files to the bank for checks
  • Prints all accounts payable reports.
  • Prepares analysis of accounts, as required.
  • Maintain Statements
  • Maintains and updates invoice issue spreadsheet and performs research associated with it.
  • Prepares, issues, and correct all 1099’s.
  • Prepares invoice deduction notices, as necessary.
  • Initiates all wire transfers.
  • Assists in monthly closings.

Qualification Requirements: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Requires education generally equivalent to an associate’s degree in business administration. It is desirable for the employee to possess a bachelor’s degree.
  • Requires one to three years experience.
  • Requires excellent oral and written communication skills.
  • Requires the ability to function as a team member and contribute to group goals.
  • Requires proficiency in computer software including JDE Accounting Package and Microsoft Office.
  • Requires the ability to use a variety of office equipment such as calculator, telephone, facsimile machine, photocopier, and a printer.
