Family Medicine
This opportunity is for a research coordinator who will support research efforts that promote health equity by helping to transform and optimize the delivery of care. Many of the studies take place in partnership with clinics across the Pacific Northwest by testing and implementing evidence-based treatments in primary care, improving quality improvement capacity within practices and leveraging electronic health records to improve health. Research projects will include, but are not limited to, studies in integrated mental health, addiction, chronic health conditions, loneliness, and multisite trials. Multiple projects may be in progress simultaneously, with the expectation of additional projects in the future. The research coordinator will work under the supervision of a senior research coordinator and contribute to the research agenda of two investigators, Dr. Sebastian Tong, a family physician, and Dr. Kari Stephens, a clinical psychologist and the Research Section head.
Position Complexities:
The position involves coordinating and supporting the research and operational functions for several research studies. Specific complexities include:
  • Developing and verifying study protocols and investigative procedures to accomplish research goals and tracking and monitoring multiple activities for projects simultaneously
  • Providing primary project management duties with support from supervisor that include tracking and monitoring project tasks, agenda setting, meeting facilitation and material preparation to facilitate studies
  • Communicating directly with participants in a professional and personable manner through multiple media and tracking participant progress throughout the research cycle: recruitment, screening, consent and data collection
  • Liaising with clinical sites and collaborating institutions to collect data, meet research milestones and fulfill reporting requirements
  • Coordinating administrative planning with faculty and senior research coordinators leading projects, e.g., scheduling and coordinating meetings with stakeholders, taking notes and tracking action items
  • Providing support to faculty, staff and trainees (including postdocs, residents and medical students) across multiple domains: post-award by assisting with submitting for approvals for general purchases and reimbursements; research by collaborating with research leads on protocols, IRB submissions, ongoing study management, and participant recruitment
  • Composing new IRB applications for additional grants and maintaining existing applications for multiple IRBs across institutions
    DUTIES AND RESPONSIBILITIES
    The Research Coordinator position is crucial for ensuring that UW School of Medicine stays abreast and contributes innovative research to the vital fields of integrating behavioral health, loneliness, chronic pain and substance use disorder care in primary care and implementation of evidence-based practices in primary care.
    70% of the time
  • Provide overall coordination of research studies with support from a senior research coordinator.
  • Coordinate day-to-day research operations including project planning, data collection and analysis, stakeholder engagement and tracking research milestones
  • Coordinate regular research and team meetings, including scheduling, preparing agendas and taking minutes
  • Develop timelines and project plans, determine priorities among competing tasks, and utilize project management software to monitor activities and progress of multiple team members
  • Draft and prepare institutional review board applications and modifications
  • Create materials and manage communications with study participants
    20% of the time
  • Coordinate internal and external communications
  • Liaise between the project teams and the sponsors or other partners and stakeholders and facilitate connections between collaborators and clinical sites
    10% of the time
  • Participate in the development and editing of manuscripts, posters and presentations.
    MINIMUM REQUIREMENTS
  • Bachelor’s degree in relevant field of study or equivalent experience
  • 2 year’s work experience
    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
    ADDITIONAL REQUIREMENTS
  • Experience in project coordination
  • Proficiency in standard workplace computer programs such as Microsoft Office, Excel, Outlook, PowerPoint
  • Excellent interpersonal and communication skills needed to work with a multidisciplinary team
    DESIRED QUALIFICATIONS
  • Master’s degree
  • Experience or interest in primary care practice-based research
  • Experience in project management principles and software
  • Experience recruiting and retaining human subject research participants
  • Experience supporting IRB development and submissions
  • Experience in electronic data capture/data management tools including REDCap

  • The research coordinator shall work in a collaborative environment with staff and faculty members within the UW Department of Family Medicine Research Section as well as with researchers and staff from other UW departments and organizations outside the UW.
  • The team currently has a hybrid structure with team split between the office and remote work. 100% remote work is not anticipated.
  • The research coordinator must be able to work independently and collaboratively with a variety of faculty investigators and staff members from multidisciplinary backgrounds on projects.
  • The research coordinator shall be supporting research faculty as well as experienced staff collaborators.
