Position Summary
Job Responsibilities
- Works with Program Manager to coordinate the onboarding, enrollment, registration, thesis submission, graduation and off-boarding processes of students.
- Performs administrative support duties, including follow-up with trainees, faculty and alumni to help ensure accurate data collection for evaluation projects; drafting communications and meeting minutes; managing calendar updates and answering inquiries.
- Responsible for the distribution and collection of grade reports.Inputs/audits grades within various systems. Prepares completion certificates and oversees their distribution. Oversees the collection of course evaluations and ensures accuracy of records.
- Responsible for initiating and approving non-matriculated requests for course enrollment; tracking number of course credits accrued; entering and maintaining records in various databases and reconciling records between systems.
- Coordinates planning and course scheduling. Arranges classroom reservations, teaching materials, technical/audio-visual support. Serves as on-site contact to prep class and troubleshoot technical issues. Ensures payments have been processed and received.
- Coordinates educational extra-curricular activities and events, including room reservations, catering, registration attendance and feedback surveys. Coordinates logistics for New Student Orientation. Maintains project tasks in project management program.
- Performs quarterly student roster audits; documents and summarizes data updates; follows-up if necessary to maintain accurate academic data. Maintains course catalog amongst internal files, Learning Management Systems, and CTSC Website.
- Maintains student records in multiple databases, distributes academic information and ensures the security and integrity of academic records for program office and NIH reporting. Assists with high-level report creation and presentation materials.
- Coordinates MS Thesis presentations to ensure they run smoothly. Monitors student records to ensure compliance with academic regulations and program graduation requirements. Assists students with timely submission of thesis and graduation documentation.
- Coordinates studemt recruitment activities and executes the admissions process. Assists candidates with completion of applications; updates application guidelines. Coordinates application reviews and handles admissions notifications.
Education
- High School Diploma
Experience
Bachelor's degree is preferred.
Approximately 4-5 years related work experience
Knowledge, Skills and Abilities
- Effective written & oral communication skills and excellent organizational skills.
