Job Description
Pace Gallery is a leading international art gallery representing some of the most influential contemporary artists and estates from the past century. Today, Pace has ten locations worldwide including London, Geneva, a strong foothold in Palo Alto and two galleries in New York. Pace was one of the first international galleries to establish outposts in Asia where it operates permanent spaces in Hong Kong and Seoul.
The Registrar has experience and expertise in all Registrarial areas and is responsible for ensuring smooth, efficient project management and timely responses to dealer office for requests, acquisitions, Palette inventory record management, consignment, loan, approval and gift agreements, condition reports, exhibitions and special projects. Daily responsibilities will include database management, drafting and following up on contracts, conducting condition inspections, assisting with exhibition planning, and shipping and liaising with internal departments as well as outside vendors, museums, framers, conservators, shippers and artists’ studios. The Registrar will support and collaborate closely with other registrar team members and frequently work with greater art resources departments and the sales team.
What You’ll Be Doing
Provide Registrar support on projects related to assigned sales office to establish and maintain a positive and collaborative relationship with artists, artist studios, estates, and clients
Continually develop expertise with artist’s oeuvres; series, techniques, materials, inscriptions, optimum packing, etc.
Catalogue artworks in inventory system and ensure records are up-to-date and accurate
Obtain and vet artwork cataloguing with artists/studios/estates/Research & Archives
department and complete and process intake forms
Ensure critical artwork information, including packing details and dimensions are
captured and updated in database
Assist with management of assigned exhibitions and facilitate related exhibitions artwork
shipping
Prepare detailed condition reports, including clear evaluations of artwork condition
Coordinate inspections and approve packing and installation specs
Draft, negotiate, maintain, and follow up on consignment, loan, approval and gift
agreements
Draft certificates of insurance for incoming artworks upon request
Review proof of insurance from consignees/borrowers to ensure that adequate coverage is in place prior to artwork release
Review and vet facilities reports from borrowing institutions to ensure adequate
environmental conditions for outgoing artworks
Correspond with staff, artists/artists’ studios, collectors, institutions, vendors and
conservators
Oversee artwork installations; occasional courier trips/travel may be required
Collaborate with relevant staff to troubleshoot and record artwork installation specifics and draft instructions/guides
Work closely with artists/studios/estates, art handlers, shipping and other registrar staff to coordinate proper packing, storage and movement of artwork
Contribute data to build registrar, art fairs and exhibitions show budgets
Maintain big-picture, long-term view of all projects and ensure that day-to-day function is in sync with greater gallery goals
Manage special projects as assigned

Requirements
What You’ll Bring:
BA required (MA preferred) in Art History, Studio Art or related field
Minimum 2+ years registrar experience; courier experience a plus
Possession of in-depth knowledge of registrarial best practices and procedures including knowledge of safe art handling and packing practices
Strong knowledge of the gallery world and of modern and contemporary art
Experience working with artworks of varying media is a plus
Ability to be flexible in a teamwork, fast paced, deadline driven environment
Ability to effectively interact with and gain the confidence of clients, artists/artists’ studios, vendors, and staff
Excellent interpersonal, communication and problem-solving skills
Ability to be detail-oriented, organized and confident with managing projects, and excellent with taking initiative and following through
Ability to work well under pressure and prioritize multiple high-level projects
Strong proficiency in Word, Excel, and Outlook
Demonstrated ability to work well independently
Benefits
Compensation estimation for this role is $60,000-$80,000.
