The Conference Registrar requires a collaborative professional who is customer service focused, tech-savvy, highly organized, a critical thinker with an attention to detail, communicates well and can work with relative autonomy while balancing multiple priorities. Communication and accuracy will be key in this role as well as providing a delightful experience to our members and every one that reaches NHSA. This person is not afraid to pick up the phone, is driven by supporting our attendees and getting them the answers they need to help them make the most value of their conference experience, and is indefatigable in working with their colleagues to serve our members. They most definitely pay attention to how we are serving our attendees and will be hungry to learn more about Head Start, NHSA, and looking to grow.
- Provide post-meeting support: unpack meeting supplies, update conference inventory and order supplies.
- Provides essential administrative and analytical support for conferences.
- Other relevant duties as assigned.
- Creates customized registration and financial reports.
- Assists with the online registration process. Tasks include assisting in the initial testing of the online registration forms; monitoring and ensuring accuracy and integrity of all registration data; managing attendee communications, invoicing and; processing payments, refunds, cancellations, and substitutions and following up with outstanding payments.
- Works collaboratively with the IT, Finance, and Membership Departments to support the Customer Relationship Management (CRM) process and ensure that the data is accurate and up-to-date for event registration rate incentives.
- Travels to four conferences per year, two in Washington, D.C., and two out of state to assist in managing on-site conference registration desk
- Provide administrative support to prepare for conferences and meetings, including organizing name badges, preparing signage, collating and stuffing folders, and packing and shipping supplies to meetings
- Interfaces (email, phone, help desk tickets) with Head Start programs and their staff at all levels from the chief executive of the agency, mid-management, and teachers in response to questions regarding conferences.
REQUIREMENTS
- Strong attention to detail, superior organizational skills, and computer literacy.
- Associate or Bachelor’s degree preferred, supplemented with one to two years of related experience.
- Exceptional interpersonal skills and ability to be comfortable and assertive working with large and small groups.
- Ability to travel up to 10% of the year.
- Ability to lift up to 50 pounds.
- Must be able to work independently and proactively while being a dependable team player.
- Curiosity and continuous learning.
- Task-oriented with an ability to identify and manage competing priorities.
- Aptitude and interest in learning new technology solutions, including but not limited to an association event management system; experience with Cvent is a plus.
- Demonstrated ability to act professionally in person and via email with senior and executive-level individuals and elected officials.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Word, PowerPoint, and Excel as well as Google Office suite applications.
- Demonstrated passion for Head Start’s commitment to ensuring every vulnerable child has the opportunity to succeed.
- Good judgment, flexibility, and problem-solving skills.
- Demonstrates initiative and enjoys creating process efficiencies.
- Takes pride in delivering delightful customer service and is sensitive and tactful in dealing with a variety of personalities.
- Excellent organizational skills, including the ability to handle and prioritize multiple tasks and meet deadlines.
- Ability to multitask and work both in teams as well as individually.
These are a plus, but not required:
- Interest in event management and hospitality.
- Bilingual in English and Spanish.
