Under the direction of the Registrar, the Assistant Registrar will oversee functions and operations to assure efficiency and accuracy while managing student records, processing a variety of records requests, and providing information and support to students, administration, faculty, alumni, and outside parties as needed. The Assistant Registrar will frequently collaborate with students, staff, faculty, administration, and the Registrar regarding student and academic records, regulatory requirements, and the College’s policies and procedures.


Primary Responsibilities


  • Prepare documents for committee/council meetings and serve on College committees, as requested. Represent the Registrar's Office at various College functions.
  • Answer a wide range of questions related to student records and files from students, faculty, staff, and administrators. Interpret standard policies and investigate and resolve problems, referring unusual situations to Registrar.
  • Assist with the maintenance of student records. Ensure compliance with all applicable internal and external policies and regulations.
  • Send admission acceptance communications/packages to students
  • Assist Registrar in monitoring changes that are needed in the College Catalog and College website.
  • Create incoming student records, collect student documents, and maintain admissions files for review
  • Process requests for transcripts, name changes, academic status changes, program audits and enrollment and designation verifications to third parties, employers, and credentialing agencies.
  • Ability to manage and perform a wide range of data entry and information retrieval tasks using multiple systems.
  • Performs other duties as assigned or apparent.
  • Collaborate frequently with supervisor, other administrative offices/staff, faculty, and students to plan, coordinate and evaluate activities/policies/systems, exchange information, explain and interpret policies and procedures, and investigate and resolve problems.


Minimum Qualifications


  • Positive attitude, friendly demeanor, and excellent customer service skills, including the ability to effectively communicate with a wide variety of individuals within and outside of the College.
  • Ability to learn and adapt to new systems quickly.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Bachelor’s degree
  • Maintain and control confidential student and College information
  • Experience working in complex record systems, including student (or customer) information systems.
  • 2 years’ experience as a registrar or equivalent professional role
  • Ability to find creative solutions.
  • Ability to work independently and adhere to deadlines.
  • Good organizational, administrative, and analytical skills.


Preferred Qualifications


  • Familiarity with higher education organizational structures and academic policies.
  • Previous Registrar's Office experience.
