Job Description
This will be a "floating" registrar position for our online division.
We offer an extensive benefits package after 30 days of full-time employment, and 2 weeks of PTO after 90 days!
The Online Registrar is responsible for the accuracy, integrity, privacy and security of all academic records including but not limited to proof of graduation, attendance, SAP appeals, SAP Academic Plans, transcripts and graduation lists. He/She will evaluate all potentially credit- worthy documents including college transcripts and Prior Learning assessments and apply these to the student’s degree program when credit is granted. He/She will monitor and ensure all graduation requirements are fulfilled by the student prior to graduation. The Online Registrar will be responsible for the overall operation of scheduling ensuring that campus master schedules are created and published in a timely, useful and efficient manner, and conforming to Ancora standards, policies and procedures.
The Online Registrar will be responsible for the integrity of student files to ensure they are complete and within compliance and accreditation standards, ensure the efficiency of the Master Scheduling responsibilities and all other related functions. The Online Registrar is responsible for assuring that the campus is compliant with the Family Educational Rights and Privacy Act (FERPA). He/She provides excellent customer service to students and the functional departments by responding to requests for information and assistance in a timely manner. This position reports to the Director – Online Registrars and supports the functions of the online centralized scheduling team.
Skills
Minimum: ⁻ Bachelor degree or related experience
Three years of experience in a Registrar’s Office preferred
Experience with student management software (e.g., CampusVue)
Experience in building schedules for course delivery
Ability to manager over 1000 student records
Preferred Experience:
Master’s degree
Five years of experience in a Registrar’s Office preferred
Duties & Responsibilities
Supports Student Registration and Course Scheduling
Provides Services to Assigned Campuses
Creates and regularly updates the master schedule of class offerings for two years in advance.
Schedules students into the master schedule of class offerings.
Ensures that every student’s schedule is known through projected graduation.
Communicates with Assigned Campuses
Modifies student schedules in response to campus requests.
Recreates student schedules in response to course failures.
Creates optimum schedules for reentering students in a timely fashion.
Ensures that campuses are able to publish schedules for new students a minimum of 6 weeks prior to a term start.
Collaborates with campus academic team to ensure accuracy of projected graduation dates.
Maintains an Efficient Schedule
Maintains an FTE ratio of 100% or greater.
Helps assigned campuses achieve stated goals for hybrid delivery.
Proactively Guides Change Management
Retools master schedule of class offerings in response to program revisions.
Adjusts master schedule of class offerings in response to small start cohorts and less- than-desired average class sizes.
Adjusts master schedule of class offerings to efficiently accomplish teach-outs of discontinued programs.
Adds new programs to the master schedule of class offerings in an efficient and planned manner.
Forecasts
Prepares reports and projections detailing the number of classes to be run, projections of class sizes, projected FTE ratio and other metrics related to scheduling efficiency.
Attendance and Population Records
Monitors attendance data on a daily basis and submits appropriate paperwork to relevant staff and faculty.
Archives and maintains original attendance sheets to ensure compliance with institutional, accreditation, federal, and state guidelines.
Maintains an accurate student population list in the student information system (CampusVue).
Processes withdrawn and graduating students on a timely basis to ensure compliance with institution, federal, and state guidelines.
Evaluates Grade Reports, Transcripts, and Satisfactory Progress Records
Maintains accurate student transcripts for matriculated students.
Processes credit transfer requests from other post-secondary institutions and prepares student notifications of acceptance/non-acceptance.
Evaluate all prior learning and its application to the student’s degree plan.
Prepares, distributes, and collects final grade sheets to enter grades into CampusVue and to ensure student transcripts are complete.
Archives and maintains original final grade sheets to ensure compliance with institutional, accreditation, federal, and state guidelines.
Spot-checks the computation of student grade point averages (i.e., current term and cumulative) to ensure accuracy.
Ensures all "I" (Incomplete) grades are resolved promptly per school policy.
Runs grade reports for review and approval and distributes grade reports to students within seven days of the end of the grading period.
Generates and prints cumulative transcripts for all students attending each term and archives transcripts by term.
Generates and presents reports to identify student performance against Satisfactory Academic Progress standards on a quarterly basis.
Maintains a record documenting file review of students and actions taken based upon Satisfactory Academic Progress review and determination (e.g., probation, dismissal, etc.).
Prepares notification letters for probation and dismissal of students for Director of Education's signature.
Prepare a list of expected candidates for graduation for the upcoming two terms and presents to Director of Education for review before the end of the second week of the term.
Creates and distributes certificates for Dean's List, Honors, and Perfect Attendance based upon previous term's grades/attendance at the beginning of each term.
Accreditation Reports and Activities
Maintains master syllabi files and archives them by date and course to ensure compliance with institutional, accreditation, federal, and state guidelines.
Gathers and provides academic information to assist with the preparation of accrediting, federal (IPEDS), state licensure, and agency reports.
Assists with the preparation of accreditation materials and reports (e.g., Institutional Self- Studies, Institutional Effectiveness Plans (IEP), Annual Summary Report, etc.) for accrediting and approving bodies.
Customer Support and Administrative Support
Provides information to others on proper methods of record keeping (e.g., attendance, grading, start-of-term procedures, end-of-term submissions, etc.) as needed.
Assists in the organization of commencement exercises and related activities.
Remains accessible to students on a regular basis for questions and/or concerns.
Maintains current personal knowledge of federal, state, and institutional regulations in providing support to academic personnel and students.
Participates in professional development activities and in-service programs.
Performs other duties and responsibilities as assigned by the Director – Online Registrars.
Monitor Scheduler Responsibilities
Ensure overall functionality of Assistant Centralized Registrar position
Monitor accuracy of the Assistant Centralized Registrar team maintaining student records
Monitor all document requests are processed in an accurate and timely manner by the Assistant Centralized Registrar team.
Ensure communication outreach of the Assistant Centralized Registrar is within job responsibility guidelines.
