Our client, a law firm that represents some of the world’s largest banks, hedge funds, asset managers, artists and galleries, is in search of a Receptionist. The ideal person will be a “go-getter” who is enthusiastic, motivated and eager to offer support as needed. The ideal candidate must have strong communication and technological skills as well as the ability to multitask.
- The base salary range posted for this New York City-based position is a good faith estimate. Actual salaries may vary based on several factors, including but not limited to, level, experience, and qualifications for the role.
- Perform basic filing, and clerical duties.
- Coordinate office activities
- Scheduling meetings, arrange appointments, gate-keeping for the office
- Scan and copy documents
- Coordinate domestic and international travel arrangements
- Maintain and update contact information, mailing lists and internal phone directories
- Greet visitors warmly and make sure they are comfortable, setting up the conference room in advance of larger meetings
- Keep office supplies neat and maintain supply levels
- Ad hoc projects as needed
- Aid the Office Manager in vendor management and keeping office machinery in working order
- Prepare cover sheets and send faxes
- Ensure reception area and kitchen are tidy
- General organization of day-to-day activities
- Help with projects as needed, including aiding the controller with various expense reports and spreadsheets – a numbers-oriented person is a value-add
- Coordinate mail flow in and out of office; notify recipients and distribute parcels and other mail
- Make coffee and plate food for partners and for meetings
- Spearhead an ever-growing / changing to-do list
- Adept at reading through emails and gathering key content and outstanding items that need to be handled
- Answer phones and connect calls to colleagues or take messages and email to recipients, acting as the gatekeeper to the attorneys and partners
- Restock fridge and pantry
- Ability to perform well in a fast-paced environment and work independently with minimal guidance
- Verification of identity, education, prior employment, and references may be required
- Tech-savvy and proficient with Microsoft Office both on PCs and Mac, and type 65+ wpm
- Detail-oriented and good organizational and time-management skills
- Knowledge of and interest in technology (especially new and useful business applications)
- Undergraduate degree required
- Strong interpersonal skills, and the ability to work as part of a team are also important qualities
- Minimum of 1 year of administrative experience in legal or finance
