Overview:
We are looking for a multi-tasker with excellent written and verbal communication skills. Candidates should have an upbeat attitude while maintaining a polite and professional demeanor at all times. Responsible for assisting with administrative tasks and facilitating the daily needs of the office environment, including reception duties, receiving and greeting visitors, answering phone and directing calls, and other tasks as assigned on an ad hoc basis. Applicants should have a genuine desire to meet the needs of others.
Key Responsibilities:
Receptionist
· Receive, greet, and assist visitors
· Screen calls and route callers to the appropriate party
· Mange all incoming and outgoing deliveries
· Ensure the mailroom is kept organized and tidy
· In charge of conference room bookings and for getting all conference rooms ready for meetings
· Maintain polite and professional communication via phone, e-mail and mail
Office Assistant
· Responsible for booking and organizing company-wide travel
· Responsible for office supply orders and kitchen supply orders
· Handling a variety of general office tasks such as filing, keeping the office tidy and organized and ensuring adequate levels of all office supplies
· Track clothing allowance usage for the Company
· Reconcile Company American Express credit cards each month for the Vice President and Director of Operations & HR
· Assist the Vice President and Director of Operations & HR on various projects and tasks
Requirements:
· A total self-starter – can anticipate needs and solve problems without being asked
· Knowledge of Microsoft Suite
· Detail oriented
· Highly organized
· Professional
· A highly motivated and competent individual able to converse with all levels both internally and externally.
· Energetic, self-motivated, and self-organized. Willing to do whatever is required to get the job done.
· Willingness to work hard and be flexible to drive the business forward.
· Able to work and understand both detailed work and the broader picture.
· Capable to work to deadlines/ ability to prioritize/ optimal time management.
