Shift: 8:00am- 5:00pm or 9:00am- 6:00pm; Monday- Friday
Responsibilities:
- Collaborate with the Security team to register and welcome visitors and guests, ensuring a warm and professional experience.
- Maintain accurate records in the database for reporting and future reference.
- Be present throughout the space, assisting clients and promptly addressing their needs.
- Facilitate clear and effective communication with various departments including Conference Services, Catering, and Audio Visual.
- Act as the primary point of contact for employee requests, addressing them promptly and providing effective solutions.
- Ensure an ample supply of office and conference room essentials, restocking as needed.
- Professionally handle incoming calls, providing exceptional customer service and directing callers to the appropriate contacts.
- Oversee the timely cleaning and resetting of conference rooms after each event, maintaining a clean and welcoming environment.
- Efficiently handle a high-volume email inbox, promptly responding to requests from multiple office locations.
- Run end-of-day reports to summarize daily activities and assist with data analysis.
- Utilize the Service Now intake system to manage ticket requests, ensuring timely and effective resolutions.
- Conduct thorough checks of conference room setups before meetings or events, adhering to service level agreements.
- Create memorable experiences for clients and end users, ensuring their satisfaction and exceeding their expectations.
- Finalize planning details with clients and communicate them to relevant departments, ensuring seamless coordination.
- Provide assistance with any other reasonable requests to contribute to a smooth and productive work environment.
- Manage conference room reservations, setups, and maintenance with meticulous attention to detail.
Requirements:
- Strong multitasking and time management skills to handle various responsibilities and meet deadlines effectively.
- Maintain a polished appearance and adhere to grooming standards suitable for a professional corporate environment.
- Ability to work well in a team environment, fostering a positive atmosphere and supporting colleagues.
- Possess a positive and professional demeanor, delivering top-notch hospitality services to clients and colleagues.
- Preferred college degree or equivalent educational background.
- Flexibility to support potential overtime when necessary, ensuring seamless operations during extended hours (7am-7pm).
- Proficiency in Outlook and calendar scheduling for efficient appointment management.
- Excellent written and oral communication skills, demonstrating clear and concise interactions.
- Minimum of 3 years of prior administrative/hospitality experience, showcasing your expertise in a corporate setting.
