About this position:
Under the supervision and direction of the Purchasing Director, will work closely with the Purchasing team, performing Customer Service and Purchasing support in a helpful, accurate and timely fashion to our internal customer base. Will respond to inventory order requests from internal customers, prepare and submit purchase orders and or issue items from the warehouse, track purchases and supplies, and responds to inquiries about order status, changes, or cancellations. Records receipts for items drop shipped and or follows up with vendors to determine order status. Assists in invoice processing for items and services maintained by the purchasing department.
Responds to emails and phone calls regarding order requests. Triages emails and forwards to appropriate team members for further follow-up on topics beyond the scope of this position. Reviews and approves order requests in the purchasing system, assists purchasing team with researching materials and pricing as needed. Communicates with vendors regarding purchase order submission and follows up on order statuses. Maintains accurate record keeping of all orders, receipts, and invoices pertaining to purchases and requests for purchases.
This position is in-office, with a 8:30am-4:30pm schedule - after your 90 day probation, you can pick your own schedule.
The hourly rate for this position is $19.01 - $25.83/hr.
What you’ll be doing:
  • Monitors and manages backorders and expedited deliveries.
  • Maintaining a positive, empathetic, and professional attitude toward customers at all times.
  • Provides tier one triage support for emails and phone calls coming to the centralized purchasing department. Resolves customer inquiries or redirects customer to next level support within department.
  • Handle customer complaints, provide appropriate solutions and alternatives within the time limits; follow up to ensure resolution. Keeps the Purchasing Director adequately informed of issues to ensure problems will be resolved.
  • Inputs purchase order and/or service requests. Tracks the order through to delivery, expediting delivery as needed.
  • Completes order requests by verifying inventory and specifications of request; evaluates appropriateness of requested product and quantities, makes sure charges are billed to appropriate department expense accounts and approves requests to move on to next stage of fulfillment.
  • Provides excellent customer service to our internal departmental customers. Promptly responds to internal customers by answering questions and requests in an accurate helpful manner.
  • Assists with reviewing order requests and checks specifications and inventory availability. Determines if purchase order is required. Fulfills order requests based on best sourcing methods.
  • Recommends bills for payment by verifying bills from suppliers against purchase orders and receipts and/or service compliance.

You’ll need to have:
Education
  • AA or technical certificate preferred.
Experience
  • One year experience in purchasing, shipping, receiving, or accounts payable.
  • One year medical purchasing experience preferred.
  • Two years experience in customer service and or sales support.
  • Ability to work with extremely close attention to detail; to be highly analytic, and to maintain confidentiality of sensitive information.
  • Proficient in using computers, Microsoft Office products, including Excel and Outlook.
  • Strong written, oral, and interpersonal skills.
  • One year experience with any computer purchasing software system.
