THE ROLE:
We are seeking a Project Manager to oversee the efficient operation and management of all facilities and operational projects within Hartbeat. This includes leading and overseeing various projects related to management, maintenance and improvement of our company’s facilities and operational processes. The ideal candidate will possess a strong background in project management, facilities management, and operations, with a keen eye for detail and a proactive approach to problem-solving. This role will report into our VP of Workplace and Facilities. You will play a crucial role in ensuring the efficient and effective functioning of our physical spaces and operational workflows.
RESPONSIBILITIES:
Project Planning and Execution:
  • Lead the planning, execution, monitoring, and closing of operations and facilities projects, ensuring they are completed on time, within scope, and within budget.
  • Maintain a proactive approach to risk assessment and timeline assessment, to ensure that contingency plans are in place for unexpected events.
  • Provide regular status updates and progress reports to senior management and appropriate stakeholders.
  • Collaborate with cross-functional teams, stakeholders, and vendors to define project objectives, deliverables, and timelines.
  • Foster clear and open communication channels between teams, ensuring project goals and objectives are understood by all involved parties.
  • Develop comprehensive project plans, including resource allocation, task sequencing, and risk assessment.
Facilities Management:
  • Coordinate with external vendors and contractors, suppliers, and service providers to ensure the timely completion of facility-related projects.
  • Prioritize and oversee maintenance, repairs, and renovations of company facilities.
Operational Efficiency:
  • Efficiently allocate resources, including personnel, equipment, and materials, to support successful project execution.
  • Budgeting and Resource Management:
  • Work with department heads to gather requirements, design process improvements, and implement changes to optimize operations performance.
  • Develop and manage project budgets, tracking expenses and ensuring adherence to financial guidelines.
  • Analyze current operations processes to identify areas of improvement and implement streamlined workflows that enhance efficiency and productivity.
EXPERIENCE & SKILLS:
  • Strong problem-solving and decision-making skills, especially while under pressure.
  • Facilities Management, Engineering, Business Administration or related field, or equivalent experience.
  • Excellent multitasking abilities with the capacity to handle multiple projects simultaneously.
  • Strong project management skills, including experience with project management software and tools.
  • Strong knowledge facilities management principles, operations best practices, and relevant regulations.
  • Proven experience of successfully managing facilities and operations projects from initiation to completion.

Compensation Range: $80K - $125K
