Job Description
Project Coordinator
Maitland, FL
Contract to Hire
Must sit in office 5 days a week
Description
  • Collect bills/invoices
  • Type memos, correspondence, reports, and other documents
  • Maintain tracking system for projects
  • Assist in Power point presentations
  • Make copies of printed material
  • Additional duties as assigned by supervisor to assist in the overall success of the group and company.
  • Document control - data entry
  • Read and sort incoming mail
  • Answer phones and direct calls
  • Utilize Access to store and retrieve data
  • Keep the department calendar and roster; Occasional project assistance for managers
  • Help coordinate clerical needs of special projects
  • This position is responsible for performing general administrative, office support for company projects.
  • Track projects and produce monthly progress reports;
  • Coordinate client or vendor lunches, including set-up and clean-up; Reserve conference rooms
  • Facilitate questions regarding projects and research information
  • Keep and maintain project files; Maintain project e-mail box
  • Coordinate with internal support departments; Order and maintain supplies; Arrange equipment maintenance or set-up
  • Prepare outgoing mailings and labels, including emails and faxes
  • Organize and maintain filing system
  • Record minutes from Project Manager meetings
  • Work with specs, changes and finalizing
  • Make travel arrangements
  • Complete weekly timecards
Requirements
  • Some college coursework preferred.
  • An advanced knowledge of Microsoft Word, Excel, Access, and PowerPoint required.
  • High School degree or equivalent.
  • Excellent organization skills, attention to detail, communication skills and ability to handle multiple tasks.
  • Minimum two years office/clerical experience.
