Job Description

What Are We Looking For


Multiplymii is in search of a Project Admin Assistant (Estimator) who will be working with our client based in the USA. Our client is a premier painting and waterproofing contractor that has been in the industry for over 40 years. In this role, you will play a crucial role in supporting the construction process by assisting with the preparation of submittals, job start up documents, and handling other essential job-related paperwork.


Beyond your experience, we are also looking for someone who is professional and possesses impeccable English language communication skills in both written and verbal.


This role is 100% work from home.


In This Role, You Will


  • Process field time & material (T&M) tickets and submit to customers
  • Help gather safety start-up documents from Safety team for projects
  • Process internal project startups and other paperwork, verifying completeness and adherence to company policies and procedures.
  • Assist in managing change orders and logs, tracking, and documenting any modifications to the original project scope.
  • Work with contract administrator for Guarantees
  • Upload files on Microsoft Teams for field access
  • Work with vendors for warranties
  • Provide administrative support to the project team, including scheduling meetings, organizing project-related files, and maintaining communication channels.
  • Assist in the preparation of submittals, ensuring accuracy and compliance with project requirements.
  • For Owner Direct Purchases: Obtain material quotes from vendors; Ensure vendor package is completed correctly; Approve vendor invoices and forward to customer with necessary back up; and organize an Excel spreadsheet to keep track of all submittals
  • Reach out to vendors for material samples, drawdowns, and sample warranties


About You


Core qualifications:


  • At least 1-3 years of experience in an Admin or similar role
  • Strong attention to detail and organizational abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in using Microsoft Office Suite.
  • Willingness to learn and adapt to new processes and technologies.
  • Prior experience in project coordination or a related role is preferred but not required.
  • Ability to work both independently and collaboratively as part of a team.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Resourcefulness and problem-solving skills.
