PROJECT COORDINATOR - CONSTRUCTION

JOB SNAPSHOT:
The Project Coordinator's primary responsibilities are to assist the Senior Project Manager(s), Project Manager(s), Assistant Project Manager(s), and Project Engineer(s) in administering and organizing multiple aspects of the construction projects including, but not limited to project start-up, meeting minutes, submittal transmittance, plan and specification distribution, contract agreement attachments, change order administration, managing DocuSign forms, data entry to Procore and project closeout documentation.
JOB LOCATION: Energetic Downtown Fishers, IN
RESPONSIBILITY:
- Ordering Prints/Drawings
- Administer and coordinate project-related activities and information in cooperation with both office and field management, aiming at successful project completion.
- Assist Project Management when directed during the bid phase with bid invites, pre-bid meeting agenda, uploading files, phone calls, and organizing bid proposals and documents.
- Send notices weekly to vendors and subcontractors that require information submission.
- Maintain and update the Master Specifications for the CMa (Construction Manager as Adviser) projects and the CMc/GC (Construction Manager as Constructor or General Contractor) projects.
- Maintain on a daily basis current data entry to project tracking spreadsheet for start-up contract documents, and procurement documents.
- Reviewing documents to ensure that all in-house files are maintained and critical documents are scanned and filed accurately for easy access by office staff.
- Distribute all Purchase Orders, Subcontracts, Contracts, and Change Orders via DocuSign. Follow-up for execution and management of company software and hard drives.
- Maintain and track all trade partner, owner, and vendor certificates of insurance.
- Edit, maintain, and organize current project information in Procore and company hard drives.
- Perform various administrative duties as assigned.
- Organization and distribution of Operations and Maintenance Manuals at project close.
- Assisting the project team with inbound and outbound communications using effective skills through phone, email, and face-to-face conversations.
EXPERIENCE AND EDUCATION:
- Maintain and support a positive attitude towards work which further promotes a strong team environment.
- Must have a minimum of three (3) years experience in a construction environment, experience working in a Project Coordinator or Project Engineer role preferred. Experience with project organization utilizing CSI codes is a plus.
- Excellent written and verbal communication skills.
- PC literate with thorough knowledge of MS Project, Word, and Excel, along with Gmail, Google Drive, and various Google Apps is required; being familiar with Project Management software applications like Procore, Expedition, Spectrum, Building Connected, etc., and PDF annotation is required. Familiarity with Procore is a plus.
- Must be able to work for multiple Project Managers concurrently, along with Architectural firms, Clients, and numerous Vendors.
- Knowledge and experience in design and building construction is recommended, but not required.
- Understanding of financial, technical, and operational aspects of a construction firm is a plus.
- Strong organizational skills including attention to detail and multi-tasking, while understanding time-sensitive issues.
