Position Summary
The People and Culture Coordinator is the first point of contact for current and potential employees. This position assists with general employee and applicant inquiries, handles all incoming calls, provides employment verifications, processes a variety of reports, maintains all general employment files, internal communication to include updating information boards and internal flyers and assists with a variety of employee events and initiatives in addition to other administrative duties. The People and Culture Coordinator handles every task with integrity and confidentiality. This highly visible role also provides administrative support to the executive team.
What We Expect
Job Duties include but are not limited to:
  • Prepare new hires for new hire training, Embark Foundations (tent cards, confirm attendees, prepare participant manuals, schedule room, Banquet Event Order etc.)
  • Track and manage employee referral program
  • Communicate applicant status with applicable management
  • Process appropriate applicant communication as needed
  • Process Internal Branching Out Forms
  • Maintain People & Culture recruitment update
  • Monitor, audit and enroll employees in the DMV pull program
  • Organize New Hire Paperwork for new employees which would include but not limit to uniform fitting, locker, name tag, and parking sticker.
  • Communicate with applicants regarding employment status
  • Management of job requisitions in HR system
  • Store and record applications
  • Seek new networks or opportunities to attract talent
  • Post open positions on external and internal recruitment websites
  • Verbally offer conditional employment, schedule new hire on boarding and complete pre-employment paperwork with all new hires
  • Process background check, prior employer and social security verification on all pending new hires
  • Facilitate, execute and participate in virtual or in person job fair
  • Screen applications/resumes, invite to apply and communicate interview process with applicants
Learning and Development
  • Prepare training materials
  • Track all training records as needed
Healthcare
  • Ensure all eligible participants receive benefit handouts
  • Email communication to new employee regarding benefits enrollment
  • Assist employees with accessing the My Four Seasons Benefits website
Workers Compensation
  • Report work-related injury information to Workers Compensation carrier website
Employee Relations
  • Coordinate cafeteria theme days
  • Assist with employee events including Town Halls, Employee Appreciation Days and Summer Picnics
  • Organize the Recognition events (Employee of the Month/Service Awards/Manager of the Quarter/Department in the Spotlight), which will include preparing certificates, letters, ballots, nominee list, one-time payments in Workday, and decorations
  • Execute all monthly reports/audits which include the following; Food Handler’s Card, Missing FDO checklist, DMV Pull, Termination List, Alpha List, Department List, Telephone List, Work Permit, Under 18 list, Birthday List and Anniversary List and send to appropriate departments
Communication
  • Create communication pieces for back of house spaces
  • Participate in the creation of quarterly employee newsletters
  • Possess a high level of professionalism and integrity while maintaining the confidentiality
  • Ensure all bulletin boards are updated with current information
General
  • Maintain all employee files (including termination files) and records
  • Perform other tasks or projects, as assigned by Residence Club management and staff
  • Respond properly in any Residence Club emergency or safety situation
  • Process employee birthday cards
  • Manage completion of employee and management performance reviews
  • Answer telephone calls and provide accurate information or refer to appropriate manager to include verification of employment for past and present employees, and handling personal calls
  • Assist employees with People & Culture related questions
  • Assist employees with Workday requests including changing passwords
  • Assist all employees with information and referral, to include but not limited to telephone numbers, direct deposit, address changes, tax information, meeting, basic benefits questions, company policy, vacation and sick times, position descriptions and any other information that may be asked
Skills/Qualifications
Ideal candidate will have:
  • Proficiency in Excel, Outlook, and Microsoft Office
  • Reading, writing and oral proficiency in the English language
  • Prior experience in Human Resources, preferred
