ROLE SUMMARY

STAFFED INC. is looking for a detail-oriented and motivated Payroll Specialist who can support payroll management across the company’s staff. The Payroll Specialist is responsible for effectively processing STAFFED INC. ’s multi-state field and corporate bi-weekly payroll; running regular payroll audits; and addressing any pay inquiries, discrepancies and reconciliation for up to 500+ employees. In addition, daily bookkeeping responsibilities; ledger entries, invoices, AP/AR, reporting and process.


You will be working closely with a dynamic high performing team with responsibilities across the finance organization. You will play an essential role in ensuring successful payroll processes. Our team’s goal is to be scalable and sustainable, encouraging efficiency and effectiveness.


JOB RESPONSIBILITIES

  • Manage the administration of payroll in compliance with FLSA wage and hour requirements on a weekly basis for Corporate and offsite locations in multiple states via the Paychex payroll system.
  • Assist in the planning, developing, and implementation of policies and audit procedures to ensure accurate and timely finance processes with an emphasis on payroll.
  • Support with compliance requirements, filing, reporting and audits; state sign ups, communications and garnishment forms; maintain all company records of financial transactions.
  • Collaborate with the People Department to ensure compliance with accurate onboarding and payroll processing.
  • Serve as the primary point of contact to research and resolve payroll, deductions and tax issues for field, corporate and placement employees.
  • Assist in bookkeeping tasks to support effective financial management of the company.


QUALIFICATIONS

  • Must be authorized to work within the United States and at least 18 years of age.
  • Strong communication skills coupled with strong analytical skills and attention to detail, exceptional organizational abilities, with strong attention to detail and excellent follow-up skills.
  • Ability to work well under pressure to meet management deadlines and to adapt to changing priorities; at ease with complexity.
  • Experience processing high volume, multi-state payroll, primaries being New York, California, and Florida with an excellent knowledge of multi-state US business filings and stipulations.
  • Bachelor’s degree required, preferably in Accounting, Finance or related field.
  • 4+ years of relevant experience in processing payroll for exempt and non exempt corporate and field staff, preferably in a dynamic, high-growth environment; Finance, Accounting, or CPA experiences is a +
  • Knowledge of internal controls, conduct weekly, monthly and annual reporting; verification of vendor reporting (W-2, W-2c, 1099, etc.)
  • Proficiency with Paychex payroll system and QuickBooks Online and a superior command of Microsoft Excel.


PREFERRED SKILLS

  • Desire to proactively improve processes with the ability to identify opportunities for automation to ensure accuracy and efficiency, minimizing human error and intervention.
  • Strong understanding of progressive financial operational processes.
  • Experience within and ability to thrive in a fast paced, high growth work environment.
  • Strong accounting foundation with deep knowledge of bookkeeping and accounting principles, practices, and procedures, including extensive GAAP experience (both bookkeeping and reporting).
