About The Opportunity
- Answer the telephone, route calls, take messages, meet and assist the public;
- Provide support and assistance with ordering, organizing, and sharing outreach materials;
- Perform a limited amount of typing, incidental to other tasks;
- Assist Marketing & Communications Coordinator in creating branding campaigns for upcoming programs, grants, or department activities;
- Compile information and data necessary for the preparation of various departmental reports;
- Act as back-up to clerical staff when needed for answering the telephone, taking messages, and meeting with the public;
- Participate in meetings, outreach events and give public presentations; Compile information and data necessary for the preparation of various data analysis reports for social media and website analytics;
- Create, plan and carry out activities that provide engagement, outreach, and communication;
- Review documents for propriety and explain basic agency policies to applicants, clients, and the public; and
- Create social media content for department wide campaigns using graphic design software;
- Meet regularly with Marketing & Communications Coordinator to determine job duties assigned;
- Search files for specific information;
- Maintain alphabetic and numeric files by filing and retrieving a variety of documents;
- Input data into an automated computer system;
- Complete necessary paperwork timely and accurately;
- Maintain routine operational records by transferring, coding and indexing data.
- Use a computer keyboard proficiently;
- Accurately perform a wide variety of keyboarding and general clerical duties of average difficulty;
- Follow oral and written instructions;
- Data entry and information retrieval; and
- Deal with the public in a tactful and courteous manner;
- Maintain clerical records and prepare reports of average difficulty;
- Travel to various sites when necessary.
- Interpret and follow County/Department procedures and policies;
- Deal with the public in a tactful and courteous manner;
- Type accurately at the speed which permits successful job performance;
- Operate a variety of computer programs;
- Follow oral and written instructions;
- Accurately perform a wide variety of keyboarding and general clerical duties of average difficulty;
- Multi-task, prioritize and problem solve; and
- Proper usage of English grammar and punctuation.
- Alphabetic and numeric filing procedures;
- Modern office procedures and equipment; and
- Equivalent of six (6) months full-time, general office experience. Relevant college education or business school training may be used to substitute up to three (3) months of the required experience.
- Equivalent of one (1) year of full-time, general office experience. Relevant college education or business school training may be used to substitute up to six (6) months of the required experience; AND
- Applicants must be able to type at least 35 WPM (net corrected).
- Three (3) months experience, or education, or certificate in Graphic Design Knowledge; OR
- Possess and maintain a valid California Driver's License and remain free from repeated preventable accidents; AND
- Three (3) months experience in outreach, marketing, advertising, or communications.
- Eligible Lists. Candidates who pass the examination will be placed on an eligible list for that classification. Eligible lists are effective for six months, but may be extended up to eighteen months.
- Oral Examination. Applicants are invited to a panel interview in which they will be evaluated by County subject matter experts.
- Application Review and Screening. Applications are carefully screened based on information provided. Those who submit incomplete applications that lack relevant qualifications or do not submit all required documents will not be invited to move on.
- Written Examination. Applicants will be invited to participate in a written exam that tests knowledge for the position.
