THE IDEAL CANDIDATE


The ideal candidate will have knowledge of Adobe graphic design software such as Photoshop, InDesign, and Illustrator and is willing to assist in marketing & outreach duties as assigned. Candidate will ideally have experience in marketing, outreach, communications or similar background.

THE POSITION


The Administrative Clerk I performs a variety of typing and clerical tasks of average difficulty, under general supervision. This entry-level position requires basic knowledge of departmental policies and procedures relative to office operations. Judgment and initiative in making decisions in accordance with established guidelines is required. Promotes a professional image by the efficient performance of a variety of business and clerical tasks designed to facilitate the smooth flow of work throughout the department.


The Administrative Clerk II performs a variety of typing and clerical tasks of average difficulty, under general supervision. This journey level position requires knowledge of departmental policies and procedures relative to office operations and performs with greater independence than the entry-level classification. Judgment and initiative in making decisions in accordance with established guidelines is required. Promotes a professional image by the efficient performance of a variety of business and clerical tasks designed to facilitate the smooth flow of work throughout the department. This position is subject to overtime, standby, callback, weekend, holiday, and shift assignments. Performs related duties as assigned.


Unless otherwise provided, this position is part of the Classified Service of the County and is assigned to the Office Worker/Clerical for labor relations purposes.


Individuals who are in a full-time classified position are required to serve a twelve-month probationary period, which may be extended an additional six months for a total of eighteen months.


Part-time extra-help is a provisional classification where permanent status may not be obtained. This position is subject to overtime, standby, shift, and callback assignments and will perform related duties as assigned. This position is non-benefited except for participation in a 401a program with Nationwide.

Typical Tasks


  • Answer the telephone, route calls, take messages, meet and assist the public;
  • Provide support and assistance with ordering, organizing, and sharing outreach materials;
  • Perform a limited amount of typing, incidental to other tasks;
  • Assist Marketing & Communications Coordinator in creating branding campaigns for upcoming programs, grants, or department activities;
  • Compile information and data necessary for the preparation of various departmental reports;
  • Act as back-up to clerical staff when needed for answering the telephone, taking messages, and meeting with the public;
  • Participate in meetings, outreach events and give public presentations; Compile information and data necessary for the preparation of various data analysis reports for social media and website analytics;
  • Create, plan and carry out activities that provide engagement, outreach, and communication;
  • Review documents for propriety and explain basic agency policies to applicants, clients, and the public; and
  • Create social media content for department wide campaigns using graphic design software;
  • Meet regularly with Marketing & Communications Coordinator to determine job duties assigned;
  • Search files for specific information;
  • Maintain alphabetic and numeric files by filing and retrieving a variety of documents;
  • Input data into an automated computer system;
  • Complete necessary paperwork timely and accurately;
  • Maintain routine operational records by transferring, coding and indexing data.
Minimum Qualifications (Knowledge, Skills, Abilities, Education/Experience)


Skills/Abilities


Administrative Clerk I:


  • Use a computer keyboard proficiently;
  • Accurately perform a wide variety of keyboarding and general clerical duties of average difficulty;
  • Follow oral and written instructions;
  • Data entry and information retrieval; and
  • Deal with the public in a tactful and courteous manner;


Administrative Clerk II


  • Maintain clerical records and prepare reports of average difficulty;
  • Travel to various sites when necessary.
  • Interpret and follow County/Department procedures and policies;
  • Deal with the public in a tactful and courteous manner;
  • Type accurately at the speed which permits successful job performance;
  • Operate a variety of computer programs;
  • Follow oral and written instructions;
  • Accurately perform a wide variety of keyboarding and general clerical duties of average difficulty;
  • Multi-task, prioritize and problem solve; and


KNOWLEDGE


Administrative Clerk I And II


  • Proper usage of English grammar and punctuation.
  • Alphabetic and numeric filing procedures;
  • Modern office procedures and equipment; and


Education/Experience


Administrative Clerk I:


  • Equivalent of six (6) months full-time, general office experience. Relevant college education or business school training may be used to substitute up to three (3) months of the required experience.


Administrative Clerk II


  • Equivalent of one (1) year of full-time, general office experience. Relevant college education or business school training may be used to substitute up to six (6) months of the required experience; AND
  • Applicants must be able to type at least 35 WPM (net corrected).


DESIRABLES

In addition to the minimum qualifications, applicant screening process will focus on the following highly desirable qualifications.


  • Three (3) months experience, or education, or certificate in Graphic Design Knowledge; OR
  • Possess and maintain a valid California Driver's License and remain free from repeated preventable accidents; AND
  • Three (3) months experience in outreach, marketing, advertising, or communications.

EXAMINATION PROCESS

  • Eligible Lists. Candidates who pass the examination will be placed on an eligible list for that classification. Eligible lists are effective for six months, but may be extended up to eighteen months.
  • Oral Examination. Applicants are invited to a panel interview in which they will be evaluated by County subject matter experts.
  • Application Review and Screening. Applications are carefully screened based on information provided. Those who submit incomplete applications that lack relevant qualifications or do not submit all required documents will not be invited to move on.
  • Written Examination. Applicants will be invited to participate in a written exam that tests knowledge for the position.
