Job Summary


\


The Manager, Facilities and Property Management oversees the Facilities/Maintenance and Mailroom Department and staff for the bank. This position directs and prioritizes all Facilities projects, centralized bank-wide, including project management, staff and vendor/contractor management, lease and contract management, budgeting, monitoring and resolving issues and compliance/risk management. This position manages the relationships of the bank\'s significant facilities/maintenance vendors and contractors, as well as the relationships with the bank\'s property owners and landlords. This position will create and maintain standards and procedures for centralized facilities/property management, and work directly with management in all Bankers Trust markets and branches to ensure properties maintain the desired Bankers Trust image.

Primary Functions And/or Responsibilities


\


  • Works with architects, contractors, subcontractors and vendors to plan, budget, coordinate and direct construction and remodeling projects at all bank facilities, in all bank markets


\


  • Oversees preparation of requests for proposal and contractor bids for any bank facilities projects, as well as evaluating proposals received and making recommendations to Senior Management on selection of contractors for each project. Ensures proper Executive and Board approval are obtained for all projects, as required, prior to signing agreements


\


  • Works with Legal and Third Party Risk Management to manage facilities leases and other facilities-related contracts and work orders, obtain regulatory and municipality approval and required permits for all projects. Obtains any required property owner or landlord approvals before proceeding with any projects at applicable locations


\


  • Works with facilities staff to manage the relationships with the bank\'s primary facilities vendors and contractors. This includes maintaining a list of pre-approved vendors for all standard types of facilities maintenance, by obtaining necessary agreements and documentation as requested by Legal and Third-Party Risk Management, so that vendors can be called upon for emergency maintenance


\


  • Communicates status, timelines, and changes for all bank facilities projects to Senior Management and all applicable stakeholders


\


  • Creates, updates and maintains processes, procedures and standards for facilities and mailroom staff


\


  • Performs or coordinates periodic inspections of bank facilities to identify necessary maintenance and or remodeling needed to ensure compliance with bank standards, desired image and safety protocols


\


  • Directs facilities/maintenance staff and contractors/vendors in the repair and maintenance activities needed at all bank locations, including communication, status monitoring and confirmation of resolution for reported issues


\


  • Oversees, manages and directs t e Bank\'s response to emergency facility repairs, including coordinating with service providers and the Bank\'s business continuity team, to the extent necessary


\


  • Creates and maintains the annual budgets for the Facilities and Mailroom cost centers, as well as ensures the department stays within the annual budget


\


  • Works with Technology and Security staff, to assist with all A/V and security installations and upgrades throughout bank facilities


\


  • Directs furniture vendors in the design and quote preparation for all facilities projects and remodeling, as well as for all departmental requests for updated or additional furniture


\


  • Coordinates periodic review of facilities by the bank\'s insurance company to identify safety concerns and coordinate the recommended updates identified


\


  • Hires, manages, evaluates and directs all facilities and mailroom staff, either directly or indirectly


\


  • Performs other duties as assigned


\


Education And/or Experience


\


  • 8 - 10 years experience


\


  • Four-year college degree in a related field preferred OR an equivalent combination of education and experience


\


  • At least eight years of facilities and property management experience in a multi-property environment required


\


  • At least three years of Supervisory experience preferred


\
