Legal Operations Manager & Grants Coordinator

Legal.io is working with an established non-profit based in Oakland, CA to bring on a Legal Operations Manager & Grants Coordinator. This position will report to the General Counsel and work closely with the Contracts Coordinator. The role is fully remote and is contract-to-hire.

Role & Responsibilities

Lead / Drive

• Lead progress of grant agreements through Legal, including coordinating preparation and execution of agreements, amendments, and exhibits, and coordinating payment information to Finance
• Assess, implement, and maintain customized technologies and processes to drive efficiencies in the department's delivery of legal services
• Drive legal trainings for the org, incl. developing materials w/ CLO, leading sessions, and managing calendar + library for same
• Optimize contract and grant coordination processes and legal knowledge systems (e.g., contract terms database)

Manage

• Monitor Legal budget, planning, and analysis, including outside counsel spend and matters reports, to optimize Legal dept. efficiencies and manage costs.
• Support and coordinate the development of grant budgets, milestone/outcome exhibits, program reports and results with the Program team and outside school support vendors
• Manage Legal/CLO meetings, agendas, day-to-day tasks, and monitor Legal email inbox to actively support CLO / Legal team

Collaborate

• Collaborate with Contracts Coordinator and school support vendors to manage and optimize legal records and archives, including organization of legal, financial, and programmatic documents for the grant program
• Partner with Finance on their maintenance of payment records and grant balances to monitor grant expenditures
• Partner with CLO and programmatic stakeholders (including Partner Leads) to understand needs and develop processes and solutions that scale alongside the grant program
• Collaborate with Ops/IT as the legal team representative for Salesforce, Airtable, and other tools/systems

Qualifications/Skills

• Agile, accurate, resourceful, responsive
• 4+ years of experience with legal operations or legal project/case management, nonprofit administration, and/or grants management
• Comfortable working with flexibility in an agile customer-service oriented environment
• Familiarity with CRM software systems; Ironclad, Salesforce a plus
• Clear concise communication, presentation and collaboration skills
• Self-motivated with the ability to set long term and day-to-day priorities and manage multiple tasks in an effective and efficient manner
• Detail oriented; curious thinker
• Strong administrative organization skills
• Familiarity with legal agreements, grant agreements a plus
• Discreet and familiar with navigating legally sensitive or confidential matters
• Paralegal experience a plus
• Deep project management skills
