Job Description
Overview


The People Ambassador aids with and facilitates the human resource processes for Paradyme. This role administers employee health and welfare plans. This person acts as a liaison between employees and insurance providers and performs the People Operations department's daily functions, including administering pay, benefits, and leave, enforcing company policies and practices, and other duties as assigned. This position resolves benefits-related problems and ensures the effective use of plans and positive employee relations. The People Ambassador ensures that plans are administered in accordance with federal and state regulations and that plan provisions are followed. This role provides administrative support to the People Operations function as needed, including record-keeping, file maintenance, and HRIS administration.


Responsibilities


Responsibilities


  • Performs periodic quality checks of benefits-related data.
  • Maintains compliance with employee and HR records guidelines; emails, scans, and emails documents; and performs other clerical functions.
  • Schedules meetings as requested by the director of People Operations
  • Assisting with planning and running special events
  • Under the supervision of the Director of People Operations, administers health and welfare plans, including enrollments, changes, and terminations. Processes required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions, including 401K contribution changes.
  • Coordinates and purchases corporate morale gifts, recognitions, and swag.
  • Creating and maintaining an action tracking list
  • Maintains multiple systems and ensures accuracy and compliance of records.
  • Maintaining a consolidated staffing list
  • Assists with the open enrollment process.
  • Under HR Manager supervision, enters, updates, and approves employee changes in HRIS with 100% accuracy; audits and maintains employee records.
  • Employee will work with the Senior Director of Corporate Operations on special projects such as:
  • Runs and distributes ad-hoc reports to applicable departments and/or PMs.
  • Assisting with Capital One Arena Suite Management, ticketing, and logistics
  • Assists with offboarding duties and responsibilities.
  • Assists with various day-to-day operations of HR functions and duties.
  • Performs pre-and post-orientation tasks within the company-defined timeframe.
  • Other duties and responsibilities as assigned.
  • Assisting with Office and IT coordination
  • Provides necessary reports for allocation/billing charges and reconciles expenses and benefits statements.
  • Formats ad-hoc employee letters (verification letters, employment status changes, salary changes, etc.)
  • Assists with the preparation and rollout of the performance review process.
  • Acts as the first point of contact for employee inquiries and requests. Responds to HR inbox and route inquiries and requests to applicable team members.
  • Assisting with Paradyme’s communications and social media presence.
  • Tracks and manages employee professional development requests.


Qualifications


  • Ability to maintain a level of high confidentiality.
  • Must be detail-oriented with excellent organizational and time management skills.
  • Onboarding & Offboarding
  • Proficiency using ADP WFN and/or other HRIS desired.
  • Solid critical thinking skills: analysis, interpretation, explanation, self-regulation, open-mindedness, and problem-solving
  • Maintenance of employee records
  • Assisted with benefits administration.
  • Experience with ISO & CMMI methodologies highly desirable
  • Minimum 3-4 years of related HR experience in the following HR functions:
  • Bachelor’s degree in business or an HR-related field is helpful but not required.
  • SHRM/HRIC Certification desired
  • Must share the company’s “employee first” philosophy.
  • Proven ability to work under pressure in a fast-paced and ever-changing environment while effectively managing shifting priorities under minimal supervision.
  • Strong verbal and written communication skills; ability to communicate across all levels of the organization.
  • Exhibits good sense and sound judgment with day-to-day activities and responsibilities.
  • Employment Verifications
  • HRIS data entry and reporting
  • Proficiency in MS Office (Outlook, Word, Excel, SharePoint, OneDrive, etc.) required.
  • Experience managing multiple email boxes.
  • Experience using iCIMS or other Applicant Tracking Systems desired.
  • Must be a proactive and self-motivated individual who takes the initiative to learn and start/complete assignments in a timely manner.


Physical Requirements


These are the essential physical requirements to successfully perform the job.


  • Requires sitting up to 8 hours per day with breaks.
  • May require lifting up to 5 pounds unassisted.
  • Fine repetitive motor skills with hands, wrists, and fingers in coordination with eyes.
  • Hearing, speaking, and vision: Adequate to perform job duties and communicate in person, via video, and telephone. Includes reading information from printed sources and computer screens.
  • Sedentary work.


Other: Work may be performed in an office environment, which may involve frequent contact with staff and vendors. Work may be stressful at times.
