Grants Reimbursement Manager
ORGANIZATIONAL SUMMARY
IAC was founded in 1987 to pursue and promote the conservation, development, and use of our agricultural resources for the betterment of our people. Tribal leaders, in a true expression of self-determination, identified and delegated their representation within the Intertribal Agriculture Council (IAC) Charter, comprising the voting membership that remains in existence today. This organizational leadership structure uniquely positions the IAC to inform policy and USDA programmatic implementation, simultaneously redefining and rebuilding our self-determined Tribal food systems.

The IAC promotes the Indian use of Indian resources for the benefit of Indian People. Programmatic offerings have expanded over nearly four decades to include legal and policy development, USDA technical assistance, natural resources management, domestic and international marketing support, and Native youth in food and agriculture leadership development. Informed by the trade routes and food systems that existed on this continent before colonization, IAC seeks to address systemic inequities to better serve Native producers and Indian Country as a whole.

Job Summary:
The Grants Reimbursement Manager (GRM) is a key member of the finance team. The GRM is responsible for the timely, accurate submission and tracking of grant claims and reimbursement requests to the Intertribal Agriculture Council’s funding agencies. These reimbursements reflect IAC’s fulfillment of providing agreed-upon services and products. The GRM will join a hard-working, collaborative team dynamic and report directly to the Finance Director (FD).

Duties/Responsibilities:
  • Develops and maintains records, documents, and files related to reimbursement requests.
  • Complies with internal and external policies, procedures and internal control.
  • Follow up with funding agencies to ensure the receipt of timely, accurate payments.
  • Assists, corrects and advises financial staff with monthly reconciliations related to grants and agreements.
  • Track reimbursement request processes and deadlines for all agreements.
  • Prepare and submit invoices in compliance with contract/agreement terms.
  • Maintain high standards of ethical and professional conduct, adhering to organization policies and procedures.
  • Preforms other related duties as assigned.
  • Conduct contract research, document collection, and data analysis related to reimbursement requests.
  • Monitors timelines and deadlines associated with grant spending and alerts grant administrators to take timely action.
  • Provides assistance to auditors as required.
  • Assist in the estimation of expenditure timelines.
  • Assists in yearly closing and balance of grant accounts.
  • Oversees grant spending to ensure alignment with agreement budgets and timelines, and alerts administrators of potential problems or issues.
  • Evaluates payments received for accuracy and applies payments to the appropriate accounts.
  • Understands the terms and fee schedule for all contracts for which invoices are submitted.
Required Skills/Abilities:
  • Bachelor’s Degree in accounting or related field or equivalent experience
  • Excellent verbal and written communication skills.
  • Proficient in G Suite; experience with Salesforce, Raisers Edge, Financial Edge, and related platforms a preference.
  • In a remote work environment, must possess the ability to work independently.
  • Preference for some background in agriculture and/ or natural resources
  • Strong attention to detail.
  • 3-5 years of accounting or billing experience preferred.
Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
