Job Description

We are seeking a highly motivated and organized Grant Administrator to join our team. As a Grant Administrator, you will play a critical role in constantly striving to improve our impact as a philanthropic partner. This role supports the grantmaking and programmatic efforts in the North American region. You will be responsible for ensuring compliance with grant guidelines, tracking grants and reporting on grant progress.

Furthermore, as part of Porticus’ ongoing initiative to incorporate trust-based philanthropy principles into its grant-making, opportunities to designing, testing, and making available to our partners exciting grant-making innovations are part of this role as well.


Key responsibilities

Data administration and management

*Handles incoming grant applications and contributes to assessment of financial dimension of applications.

*Collects information on the partner, for due diligence, staff assessments, write-up, and investment committees, Grant Agreement, payment process, reporting/ assessment schedule etc. and inputs into the database (Salesforce).

*Owns and operates Salesforce; monitors and follows up pending applications in consultation with Programme Manager/Grant Manager and executes the payment process flawlessly

*Ensures adherence to the corresponding Porticus workflow processes at programme- and grant level; supports compliance to Porticus due diligence policies

Grant workflow related processes & due diligence

*Ensures compliance with internal processes (such as safeguarding and adherence to internal decision-making model)

*Prepares all the required documents needed for decision making, including all write-ups and logic models

*Generates grant agreements in consultation with Grant Manager/Legal/Operations; ensures agreements are signed and uploaded into the database in a timely manner

*Monitors grant agreements and payment schedules; ensures grant conditions are being adhered to and raises concerns in case of discrepancies

*Ensures payments are scheduled and made in a timely manner and pre-conditions have been adhered to

Monitoring and reporting progress

*Responsible to update the database with progress and impact data

*Prepares aggregated reports and fulfils reporting requirements as requested

Supports team with project management in planning grant and programme timelines


Qualifications

To be successful in your role, you are an experienced, proactive, multitasking assistant who is providing grant administrative support.

Ideally you meet the following requirements:

  • Highly result oriented and able to work effectively in a fast-paced, changing environment, handling multiple responsibilities at the same time
  • Excellent organisational skills; strict attention to detail, and ability to meet deadlines
  • At least some years of relevant experience in a similar role or a degree in business, public administration or a related field
  • Familiarity with database management software such as Salesforce, or interest in learning new software
  • Initial experience in grant administration/grant management or project- and process-management or administrative field preferred
  • Excellent communication skills and service-oriented work mentality
  • Comfort navigating changing dynamics
  • High levels of computer technology proficiency
  • Proactive self-starter
  • Interest in joining organisational learning initiatives, always looking to learn, evaluate and improve
  • Knowledge/interest in operations of philanthropy and international development
