Supporting Community Healthcare is a rewarding role. LifeLong Medical Care is looking for a Front Office & Eligibility Coordinator to work at our Brookside San Pablo Health Center. The Front Office & Eligibility Coordinator will work with a multi-disciplinary team in the delivery of general primary care medical services in a community health setting The Front Office & Eligibility Coordinator is responsible for ensuring efficient and friendly front office operations as well as preparing all eligibility information for each scheduled patient. Responsibilities include reception, appointment scheduling, patient registration and check-in, eligibility screening, telephone operation and cash collection management.
- Make appropriate use of knowledge/ expertise/ connections of other staff.
- Maintains inventory of front desk supplies and forms
- Responsible for collecting visit copays and cash collections management (send cash to A/P, notify A/P if no cash has been collected)
- Responsible for patient reception and intake including registration, check-in and scheduling future appointments
- Keeps statistical records as requested by Center Supervisor or Manager
- Ability to work effectively and calmly under pressure in a positive, friendly manner
- Manages patient flow from front to back office
- Greets all patients and visitors in a warm and friendly manner and utilizes positive customer service in all interactions
- Answers clinic phones and directs calls appropriately. Makes follow-up calls
- Conduct oneself in external settings in a way that reflects positively on LifeLong Medical Care as an organization of professional, confident and sensitive staff.
- Strong organizational, administrative and problem-solving skills, and ability to be flexible and adaptive to change.
- Work in a team-oriented environment with a number of professionals with different work styles and support needs.
- Under supervision of the Center Supervisor or Manager, enters and maintains provider templates as needed
- Assists patients with referrals to Medi-Cal, CalFresh, HealthPac, CARES and other programs.
- Be creative and mature with a “can do”, proactive attitude and an ability to continuously “scan” the environment, identifying and taking advantage of opportunities for improvement.
- Performs computer data entry, document and card scanning and validation
- Receives and distributes all incoming correspondence including mail, faxes, interoffice mail courier items and packages
- Responsible for preparing all eligibility information for each scheduled clinic patient at least two days ahead of the appointed time
- Attends all meetings that apply to the eligibility process and shares the information with appropriate clinic personnel. These meetings are typically off-site and may require the use of personal vehicle or other transit.
- Excellent interpersonal, verbal, and written skills and ability to effectively work with people from diverse backgrounds and be culturally sensitive.
- Ability to prioritize competing work demands and tasks from clients or staff
- Performs other duties as assigned
- Generates correspondence as requested
- Maintains appearance of waiting areas and reception desk
- Bilingual English/Spanish
- High school diploma or GED
- One year experience in the medical field
- Excellent customer service and ability to maintain confidentiality
- Proficient in standard office software (Microsoft)
- Experience with insurance eligibility
- Experience in working in a community health center
- Proficient in Electronic Health Records (EHR) and Electronic Practice Management Systems (EPM)
- Bachelor’s degree in health science or a related field
- Work in a team-oriented environment with a number of professionals with different work styles and support needs.
- Consults informally with providers as needed.
- May serve as supervisor for psychology or MSW interns and may provide ASW clinical supervision.
- Be creative and mature with a “can do”, proactive attitude and an ability to continuously “scan” the environment, identifying and taking advantage of opportunities for improvement.
- Conduct oneself in external settings in a way that reflects positively on LifeLong Medical Care as an organization of professional, confident, and sensitive staff.
- Ability to seek direction/approval from on essential matters, yet work independently with little onsite supervision, using professional judgment and diplomacy.
- Follows all State of California mandated reporting requirements.
- Ability to work effectively and collaboratively in a fast-paced primary health care setting and prioritize completing job demands.
- Works with team members to provide follow-up assessment and prevention planning after any crisis, including follow-up with outside agencies.
- Travel between SBHC sites as needed.
- Must be a self-starter, able to balance counseling, case management and administrative tasks.
- Maintains clinical and administrative records in accordance with contractual and billing requirements and submits encounter forms on a weekly basis.
- As a team member, assists with crisis intervention and triage as needed. Crisis intervention includes assessment, de-escalation, and notifying the public mental health crisis response team if necessary.
- Participates in quality improvement efforts related to behavioral health and integrated models of care.
- Provides short-term case management services for patients participating in treatment.
- Participates in weekly clinical meetings; promotes integrated primary/mental health care in coordination with medical providers and other inter-disciplinary team members.
- Ability to effectively present information to others, including other employees, community partners and vendors.
- Provides comprehensive psychosocial assessments, mental health diagnoses, treatment plans and implements short-term counseling using appropriate modalities for patients with issues such as depression, anxiety, trauma, grief/loss, addiction, domestic violence, behavioral health problems, and psychosocial stressors. Works predominantly within clinic but may include home visit services.
- Demonstrated ability and sensitivity to working with a diverse staff and with a patient population from various ethnic, socioeconomic, age, education, lifestyle, and experiential backgrounds.
- Ability to see how one’s work intersects with that of other departments of LifeLong Medical Care and that of other partner organizations.
- Integrating in school setting
- Excellent verbal, written and interpersonal communication skills. Strong organizational, administrative and problem-solving skills, and ability to be flexible and adaptive to change.
- Make appropriate use of knowledge/ expertise/ connections of other staff.
- Attending COST meetings
- Ability to effectively supervise staff and to contribute to staff development.
- Valid Licensed Clinical Social Worker or Associate Social Worker (limited sites) registration with the California Board of Behavioral Science.
- 1 year experience in clinical case management.
- Familiarity with evidence-based practices for treatment of depression and other mental disorders.
- Proficient in Microsoft office
- Knowledge and experience providing mental health services to disadvantaged populations.
- Epic and/or medical software systems knowledge
