Freight Audit Specialist
JOB DESCRIPTION
The Freight Audit Specialist will be responsible for investigating freight shipments and its invoice payment information against our customers contracts and applicable rates. The goal is to identify billing discrepancies and verify overpayments made by our client’s customer and use our proprietary applications to file overcharge claims. The Auditor will sometimes work with other departments and have direct communication with carriers and/or clients to discuss various issues concerning billing accuracy.
Essential Duties and Responsibilities:
- Develop and maintain comprehensive process documentation, as well as the development and ongoing monitoring of metrics that track key performance indicators within the freight audit and payment functions.
- Basic knowledge of freight bill analysis, validation and freight classifications.
- Communicate with carriers and/or clients to address issues related to our audits.
- Identify root causes for recurring discrepancies and develop/implement timely and practical solutions.
- Understanding of the different shipping modes (LTL, TL, Parcel, Intermodal) and applicable rates/pricing (carrier rules tariffs, discounts).
- Support other departments to facilitate payment of the overcharge claims.
- Understanding of freight terminology (BOL, POD, accessorial charges).
- Monitor workloads of data entry and audit staff to establish and maintain consistency with respect to processing activities for each carrier.
- Maintain regular and ongoing communications with carriers to ensure the timely receipt of all freight bills and supporting documentation, reconciliation and resolution of all past due amounts.
- Be able to provide backup support for other projects as needed.
- Analyze and interpret customer contracts and rates, audit invoice payment information, and file overcharge claims.
- Develop and maintain a continuous improvement mindset with respect to the quality, efficiency and overall effectiveness of the freight audit and payment functions and related internal controls, resulting in increased accuracy and a decreased risk of fraud and errors. Review and revise policies and procedures as necessary to accomplish such ends.
Skills and Abilities Required:
- Ability to work flexible/additional hours; hours will be coordinated with and approved by Operations management
- Detail oriented with excellent analytical and organizational skills.
- Excellent customer service skills with proven ability to build good relationships with peer groups across the organization.
- Strong verbal and written communication skills.
- Well-developed problem solving and reconciliation skills, and the ability to work independently to resolve issues.
- Proven ability to function as a Subject Matter Expert with respect to specialized systems applications.
- Demonstrated experience managing multiple priorities and strict deadlines.
- Ability to virtually report for work on-time
- Strong Excel experience is REQUIRED.
- Advanced skills in Excel, with ability to summarize and present large volumes of data in a concise manner.
Education and Experience Required:
- Knowledge of Ocean, Air, LTL, TL, or Rail freight contracts, pricing, and or billing practices is highly sought after.
- Bachelor’s degree in a related field or equivalent experience
