Research Administrator 2 (Hybrid)
The School of Humanities and Sciences (H&S) is the foundation of a liberal arts education at Stanford. The school encompasses 23 departments and 25 interdisciplinary programs. Stanford University’s Department of Psychology has an exciting opportunity to join our research administration and financial management team. Our program attracts top faculty, students, and research staff from all over the world who advance psychological theory, tackle real-world problems, and provide outstanding teaching and training. Psychology is a large and active department with a significant volume and diverse portfolio of federal and non-federal sponsored research projects including subcontracts, subawards and cross-school collaborations. The Research Administrator (RA) will be responsible for both pre and post-award functions, for ensuring compliance with sponsor and university policies and guidelines, and will manage the entire life cycle of awards. Our RA’s are also responsible for the oversight of faculty unrestricted accounts, forecasting and reporting for faculty and other staff, interpreting and communicating department, university and sponsor processes and policy, reviewing and approving financial transactions, reviewing expenditure statements and making corrections when necessary, and for serving as a department resource on research administration and general finance. The RA will report directly to the department’s Manager of Finance and Research Administration and will collaborate daily with faculty, postdocs, students, research, and administrative staff.
This is a busy position requiring a high level of professionalism, productivity, accuracy, initiative, sound judgment and decision making, attention to detail and follow-through. We are seeking an experienced Research Administrator with a background in pre and post-award management, a very strong customer-service and work ethic, excellent communication and technical skills, a collaborative problem-solver, and who interacts well with all levels in a culturally diverse population. This is a 100% FTE. This position will be based on the Stanford campus and will be considered for an option of telecommuting (hybrid of working on-site and off-site), subject to operational need.

CORE DUTIES*:
  • Develop, prepare, and finalize project budgets, and provide budget justification.
  • Develop and communicate reports supporting project status; create effective forecasting and decision aides.
  • Serve as a resource on subject area and overall technical resource to principal investigator and other university staff.
  • Serve as liaison and active partner between principal investigators, Office of Sponsored Research, research groups, and other departments; respond to sponsor inquiries.
  • Participate in and contribute to process improvements. Lead other staff in group projects
  • Participate in contract closeout process; submit final reports and certificates. Compile information and documents needed for audit inquiries.
  • May participate as a mentor and provide cross-training as needed.
  • Participate with principal investigator in the preparation of the administrative components of proposals within parameters of sponsored and non-sponsored research guidelines. Oversee and communicate submission process, both paper and electronic; review documents for completeness and compliance.
  • Collaborate with Office of Sponsored Research to ensure awards are set up properly and cost-sharing requirements are fulfilled; initiate cost transfers.
  • Understand, apply, and advise on university and government policies for projects.
  • Review and approve expenditures, advise on post award spending and commitment activity, and oversee compliance related to fund and revenue.
Minimum Requirements
Education & Experience:
Bachelor's degree and three years of job related experience, or combination of education and relevant experience.
Knowledge, Skills And Abilities
  • Ability to complete Cardinal Curriculum I and II within first year in role.
  • Excellent oral, written, and communication skills.
  • Basic knowledge of governmental regulations.
  • Knowledge of property management requirements related to Stanford or non-Stanford title of equipment and fabrications.
  • Excellent time management and organizational skills.
  • Knowledge of procurement needs, including sole-sourcing, cost analyses, vendor requirements, and small business reporting.
  • Extreme attention to detail.
  • Excellent analytical skills; demonstrated proficiency in Excel and web-based tools.
  • Ability to work well independently, but also to seek or offer assistance when needed.
  • Strong accounting skills; knowledge of accounting principles.
  • Ability to understand, interpret, and communicate policies and procedures.
  • Ability to review a proposal or manage a project with understanding of the overall scope and goal of each sponsored project.
  • Competency in project management.
Certifications And Licenses
  • Cardinal Curriculum I and II must be completed to remain in this position.
  • Certified Accountant or Auditor or similar credential desired.

The expected pay range for this position is $81,000 to $99,000 per annum
