Job Description
The Facilities Coordinator is responsible for providing a proactive and customer-service driven approach to facilities maintenance for one or more buildings. Reporting to the Facilities Supervisor, the Facilities Coordinator is the primary point of contact for building occupants, customers, and guests as it relates to office space maintenance and facilities support needs. This individual will be responsible for the coordination of internal and external resources necessary to ensure a consistently clean, functional, and safe work environment.
Responsibilities May Include:
  • Provide support and assistance related to various on-site events, meetings, and renovation activities.
  • Utilize work order management system to track work tasks and activities.
  • Coordinate employee office relocations, complying with workplace standards. Implement functional rearrangements and moves ensuring coordination and planning of all support services and communicating same.
  • Leading by example in maintaining service standards
  • Handles all customer comments and inquiries, coordinating necessary measures for resolution.
  • Primary customer liaison for assigned areas of oversight; monitors status of customer requests and ensures appropriate follow up.
  • Oversee vendors in the scheduling and execution of contracted work.
  • Manage some renovation and repair projects as assigned.
  • Work closely with engineering technicians, maintenance technicians and janitorial staff to ensure clean, safe, and functional work environment.
  • Utilize building ticket system for employee requests related to facilities and space management.
  • Oversee scheduling of regular building services and maintenance.
  • Perform regular visual and functional inspections to ensure the optimal condition of building interior and exterior, while proactively identifying any maintenance, cleaning, or safety needs.
  • Coordination and oversight of Facilities Maintenance services for corporate HQ including office space, training and conference facilities, exterior and amenity spaces.
  • Day-to-day troubleshooting and addressing problems as they arise.
  • Audit building cleaning services to ensure service levels are met.

  • Demonstrates consistently high standards and attention to detail with regard to the customer experience.
  • Representation of JM Family culture in the delivery of services provided.
  • Exercises sound judgment to determine appropriate action.
  • Ensures that all services provided meet the customer's needs and are delivered efficiently.
  • Work toward department and corporate objectives with continual progression in understanding of building maintenance and operations.
  • Provides diligent oversight of assigned workspaces within the facility while demonstrating an ownership mentality and teamwork toward broader department responsibilities.
Qualifications:
  • Strong interpersonal skills
  • Strong written and verbal communication skills
  • Intermediate or stronger skill level in Microsoft Office Suite
  • High School Diploma or equivalent required, college degree preferred (or commensurate experience)
  • Minimum five (5) years of experience in a facilities maintenance or coordinator role, preferably in a corporate environment.
  • Must have a solid understanding of building and maintenance terminology.
