Dobbs Defense Solutions is seeking an Executive Secretary (ES) to support National Geospatial-Intelligence Agency (NGA) offices at the Directorate, Group, or Office organizational level having Senior Executive Service (SES), Defense Intelligence Senior Leaders (DISL) leadership, and/or Flag Officer (FO). The candidate will perform general administrative tasks and assist leadership with day-to-day business processes. The Executive Secretary will need working knowledge of military and administrative support requirements, Defense Travel System (DTS) with knowledge of the Joint Travel Regulation (JTR), and the ability to schedule, coordinate, set up, and operate Video Teleconference (VTC) equipment, and teleconferences.
This position will require candidates to demonstrate proper grammatical use of English, present a good format/form per established corporate/office guidance, and apply technical expertise and skills to implement business solutions. The Executive Secretary is responsible for drafting, editing, and typing correspondence that includes emails, letters, documents, reports, memos, and reading materials.
Duties
  • Develop and deploy scheduling tools that will aid in providing improved efficiency in the analysis, reporting, and presentation of information
  • Possess a working knowledge of MS Office software applications (i.e., Word, Excel, PowerPoint, and Outlook: Mail, Calendar, and File Functions)
  • Knowledge and ability to operate office information technology (IT) equipment (e.g., copiers, scanners, facsimile machines, computer workstations, phones, teleconference, VTC equipment)
  • Prepare and manage the office-filing systems (hardcopy and softcopy) using specified format and structure
  • Facilitate professional relationships and support efficient execution of all office administrative requirements
  • Capable of independently handling a large, complex workload, effectively coordinating multiple resources, and multi-tasking in a fast paced environment having competing priorities.
Qualifications
Required Education and Experience:
  • Must be proficient in automated office software suites to include word processing, spreadsheets, electronic mail, electronic distribution of documents, and databases, including use of software for presentations
  • Bachelor’s Degree in General Business Administration or related course work from an accredited University/College or Minimum 8 years of secretary experience with a minimum 2-year experience working in a senior level office
  • Excellent communications skills
  • Associate Degree in general business administration or related course work from an accredited College or Minimum 10 years of secretary experience with minimum 4 years’ experience working in a senior level office
  • Strong attention to detail and organizational skills
  • High School Diploma with Vocational/Military Training Certificate in Office Management, Secretary Services, or related field or Minimum 14 years of secretary experience with minimum 6 years’ experience working in a senior level office
