Job Description
Summary You will serve as a Secretary in the Supervisor of Shipbuilding, Conversion & Repair, Code 101 of SUPSHIP. Responsibilities You will provide a variety of administrative and secretarial duties and also function as the executive assistant to the Executive Director. You will serve as the principal office assistant in support of the work of a very large, complex organization. You will respond to inquiries and administrative/management problems brought by members of the staff and official of the Headquarters office in NAVSEA. You will receive and screen visitors and phone calls from higher organizational levels, other agencies, and representatives of important public and commercial interests. You will provide quick and courteous answers to routing and nontechnical requests for information such as status of reports, suspense dates for matters requiring compliance, and similar information readily available from files. You will maintain the Executive Director's daily calendar, establish priorities, schedule meetings and appointments, accept or decline invitations, or arrange for substitute representation without prior approval based on personal knowledge. You will remind the Executive Director of appointments, obtain background information on subject matters, and present information to the Executive Director prior to scheduled phones calls, visitors, or meetings. You will draft correspondence on own initiative, based on knowledge of Executive Director's views and preferences. You will compose non-technical correspondence on topics such as office procedures, requests for information, and handling of Congressional or other sensitive matters. You will review correspondence prepared by others for consistency with the Executive Director's policies and personal views. You will make travel arrangements, organize travel to ensure necessary arrangements have been made for personnel, and review travel documents to ensure information is accurate in accordance with regulations. Requirements Conditions of Employment Qualifications Your resume must demonstrate at least one year of specialized experience equivalent to the next lower pay band, NK-02 (GS-07 Equivalent), in the Federal service or equivalent experience in the private or public sector performing clerical or administrative support functions (e.g. scheduling meetings and appointments, calendar management, correspondence preparation, travel arrangements, data tracking and reporting, storing and retrieving electronic documents, and screening visitors or phone calls) in accordance with established protocols or procedures to ensure management of daily office priorities.
